As An Administrative Assistant Your Responsibilities Will Include
- Ensuring Reception is opened/closed appropriately and in a timely manner
- Answering the software-based telephone in a professional manner and transferring the caller to the appropriate business unit or colleague
- Greeting and welcoming each guest in a friendly and inviting manner
- Organization and distribution of incoming and outgoing mail
- Assist with requests for stationery and other office items and ensure sufficient inventory is maintained
- Printing of financial statements, tax returns, internal forms, manuals, and reports.
- Scan documents and embed in electronic file
- Records management, including internal and external filing and liaising directly with storage facility
- Organize catering, meeting room preparation and clean-up
- Maintain cleanliness of kitchens and common areas, office space throughout the workday
- Managing boardroom bookings and catering requirements including set-up, and clean-up for meetings and office events
- Preparing hard files for clients based on requests from the external client service team and new client setup processes
- E-filing as required
- Provide billing support using various Doane Grant Thornton systems and in accordance with the terms of the engagement letter
- Assist in the preparation and submission of time and expense reports for the partner(s) supported
- Plan and coordinate cost-effective and sometimes complex domestic and international travel arrangements and itineraries for individuals and groups
- Participate in training and stay current with Doane GT software
- Assisting the Manager of Administrative Services with various ad hoc duties (e.g., set up of client and internal receptions, new colleague space set up, clean-up of storage room, etc.)

- 1-2 years of administrative experience
- Excellent written and verbal communication skills with an aptitude for building strong client relationships
- Strong Word processing skills
- Advanced working knowledge of MS Suite, Visio, Adobe Acrobat, etc.
- Strong negotiation skills with a problem-solving attitude & innovative thinker
- Proven experience in providing exceptional client service
- Takes initiative and direction and is a self-directed learner
- Ability to multi-task and meet multiple and/or unexpected deadlines in a demanding environment
- Demonstrates sound judgment regarding confidential and sensitive matters
- Available to work overtime during peak tax filing seasons

At Doane Grant Thornton, we’re committed to ensuring our compensation practices are fair, equitable and competitive. To get the conversation started, we’re happy to share that our current base salary for this role ranges from $41,000 - $56,000 in Abbotsford, BC. If this role is available in another location(s), the associated salary range in that location(s) may vary based on relevant factors, including geography.
