Job summary

Caldic North America in Mississauga, ON, is looking for an Account Receivable Administrator. Reporting to the Credit & Collections Manager, you will manage AR tasks across multiple ERP systems and collaborate with Customer Care, AR and Sales teams.

The role emphasizes data accuracy, timely invoice processing, customer set-ups, inquiries handling, and maintaining records while ensuring compliance with health and safety standards in a food manufacturing and distribution environment.

Qualifications

• 2-5 years' experience in Data Entry, Accounts Receivable (AR), Finance, or a related field preferred.
• AR Experience is an asset.
• Experience with Dynamic 365 and/or Dynamics AX 2012 is an asset.
• University Degree in Finance/Accounting is considered an asset.
• Excellent attention to detail and accuracy.
• Strong organizational skills and ability to prioritize tasks.
• Effective communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Ability to handle confidential information with discretion.
• Interacts professionally and build rapport at all levels both internally and externally.
• Exposure to Food Manufacturing and Distribution industry is an asset.
• Able to adapt well to change.
• Strong computer skills. Knowledge of MS Office, including Excel, Access, and PowerPoint.

Responsibilities

• Input customer information and other data into multiple ERP systems accurately and timely.
• Verify data accuracy against source documents such as customer setup forms.
• Maintain organized accounts receivable records.
• Assist with invoice submission on customer portals.
• Respond to customer inquiries about account setup and adjustments.
• Process customer credits and returns under Finance guidance.
• Update and maintain customer records as needed.
• Assist in AR data analysis to identify trends and improvement opportunities.
• Maintain high accuracy and attention to detail in all tasks.
• Complete other duties as assigned by the Credit & Collections Manager.
• Ensure compliance with health and safety regulations, GMPs and HACCP requirements.

About The Role

Reporting to the Credit & Collections Manager, the individual will be responsible for managing accounts receivable task for Caldic North America.

Scope

The Accounts Receivable Administrator is responsible for all functions relating to the setting up and general administration of customer accounts. This individual must continually review the requirements for setting up customer accounts in multiple ERP systems. Regular communication with Customer Care Associates, AR & Sales/Commercial team is required to obtain accurate information required to set up the customer account.

Key Responsibilities

• Accurately and efficiently input customer information, and other relevant information, into multiple ERP system in a timely manner.
• Verify the accuracy of data by comparing it to source documents, such as customer set up forms.
• Maintain accurate and organized records of accounts receivable data.
• Assist with invoice submission on customer third party portals.
• Respond to customer inquiries on a variety of matters including customer account set up process and account adjustments.
• Respond to external trade reference requests and forward required details to requester.
• Manage the processing of customer credits and return merchandise authorization on behalf of Finance.
• Update and maintain customer information and account records as needed.
• Assist in the analysis of accounts receivable data to identify trends and areas for improvement.
• Maintain a high level of accuracy and attention to detail in all tasks.
• Complete all other duties as assigned by Credit & Collections Manager.
• Ensure compliance with all health and safety regulations, GMP's and HACCP requirements.
