The ideal candidate has accounts payable experience, ERP familiarity (TruckMate preferred), strong attention to detail, and good communication skills.

Qualifications

Responsibilities

• Process vendor invoices and payments in a timely manner.
• Match invoices to purchase orders and receipts for proper documentation.
• Maintain vendor records and accurate payment information.
• Process payments via direct deposit, EFT, and cheque for vendors lacking banking data.
• Code invoices, allocate expenses, and post to TruckMate ERP.
• Follow up on invoice approvals and coding in the EBΕ workflow system.
• Reconcile vendor statements and resolve discrepancies.
• Assist month-end close and prepare accounts payable reports.
• Communicate with vendors and internal departments to address inquiries.

Job Summary:

JD Smith is currently seeking an Accounts Payable Specialist to join our Finance team. The Accounts Payable Specialist handles the full accounts payable cycle, ensuring timely and accurate processing of invoices and payments for the company. This role includes managing both traditional hard copy invoices and electronic invoices through a paperless system. The specialist will process payments, perform invoice coding, and maintain vendor records using our ERP system and TruckMate system.

Key Responsibilities:

• Receive, verify, and process vendor invoices and payment requests in a timely manner.
• Match invoices to purchase orders and receipts to ensure proper documentation and coding.
• Maintain vendor records and ensure accuracy of payment information.
• Process payments through direct deposit (DD), electronic funds transfer (EFT), and cheque issuance for vendors without banking information.
• Perform invoice coding, expense allocation, and posting into TruckMate ERP system.
• Monitor and follow up on invoice approvals and coding within the electronic workflow system (EBE) to ensure smooth processing.
• Reconcile vendor statements and resolve any discrepancies or payment issues.
• Assist with month-end closing activities and preparation of accounts payable reports.
• Communicate effectively with vendors and internal departments to address inquiries and issues.
