Job Title: Accounts Payable Specialist

The Accounts Payable Specialist processes invoices, resolves pricing and matching discrepancies, and supports accurate financial reporting. This role manages vendor inquiries, reconciles accounts payable subledgers and related accounts, and prepares documentation for audits while ensuring compliance with banking and master data requirements.

Responsibilities

• Process a high volume of invoices accurately and in a timely manner.
• Resolve invoice and pricing discrepancies, including 3way match variances between purchase orders, goods receipts, and invoices (PO/GR/Invoice).
• Ensure compliance with internal requirements related to banking information, vendor master data, and other accounts payable controls.
• Handle vendor inquiries promptly and professionally, providing clear and accurate information.
• Perform vendor statement reconciliations to ensure all invoices and payments are properly recorded.
• Prepare accounts payable journal entries, including accruals, reclasses, and adjustments, in accordance with accounting standards.
• Reconcile the accounts payable subledger, GR/IR accounts, and vendor advances to the general ledger.
• Conduct account analysis and prepare supporting documentation for internal and external auditors.
• Generate operational and financial reports such as AP aging, cash requirement forecasts, accrual listings, and invoice productivity metrics.
• Maintain accurate data entry and documentation within ERP and Microsoft Office tools.
• Collaborate with team members and other departments to support smooth procure-to-pay processes.
• Provide strong customer service to internal stakeholders and external vendors.

Essential Skills

• Hands-on experience in accounts payable, including invoice processing and vendor management.
• Solid understanding of accounting principles, including debit and credit entries.
• Proficiency with 3way matching processes involving invoices, purchase orders, and goods receipts.
• Strong invoice and purchase order processing skills with attention to detail.
• Proficiency in Microsoft Excel, including VLOOKUP and pivot tables.
• Experience working with ERP systems for accounts payable processing.
• Ability to perform accurate data entry and manage large volumes of transactional information.
• Strong customer service skills when dealing with vendors and internal stakeholders.
• Proficiency in Microsoft Office applications.
• Experience with PeopleSoft or similar ERP platforms.

Additional Skills & Qualifications

• Background in accounting or finance-related functions.
• Ability to generate and interpret AP aging reports and cash requirement forecasts.
• Experience preparing accrual listings and invoice productivity metrics.
• Familiarity with GR/IR accounts and vendor advance reconciliations.

Work Environment

This role is based in Oakville, ON, with work performed on-site Monday through Friday initially, transitioning to a fully remote arrangement starting mid-November. Standard hours are 8:00 a.m. to 4:00 p.m., with a 30minute unpaid lunch and 7.5 paid hours per day, for a 37.5hour work week. There is no expected overtime. The Accounts Payable Specialist works as part of a team of approximately 78 people and uses ERP systems (including PeopleSoft), Microsoft Office, and Excel as core tools. The environment offers exposure to a broad range of accounts payable and reporting activities, as well as opportunities for growth and potential extension, providing a supportive setting for building skills and advancing within the company.

Pay And Benefits

The pay range for this position is $23.00 - $23.00/hr.
