Posting Date: June 25, 2025
· Ensures all invoices charged to the YWCA Hamilton are processed for payment in a timely manner
· Assists Accounts Payable Coordinator receiving and distributing invoices and bills for payment approval;
· Assists in reconciling invoices, utility bills, petty cash reimbursements, employee expenses, and corporate Visa statements to ensure complete and accurate data, escalating problems to the Accounting Supervisor for resolution;
· Verifies allocation of expenses to correct cost centre(s);
· Assists in entries of approved invoices, cheque requisitions, petty cash reimbursements, employee expenses, and corporate Visa expenses into accounting system (SAGE) for payments; processes cheque runs and sets up on-line payment batches;
· Prepares, matches cheques against invoices, and distributes or mails cheques as required;
· Verifies the accuracy GST/HST rebates;
· Responds to designated enquiries, resolves or directs calls to appropriate individuals;
· Ensures that purchase order amounts are not exceeded on invoices. Notifies Manager of respective department, when necessary to resolve;
· Verifies statements of account from various vendors and coordinates with vendors as needed;
· Maintains accurate records/files and documentation in accordance with YWCA policy and accepted accounting practices;
· Maintains accounts payable vendor database;
· Support requests for information from auditors or regulatory agencies;
· Manages on-site cheque printing and mailing processes;
· Responds to enquiries and resolves data discrepancies, providing hard-copy back-up and/or written explanations;
· Maintains files and documentation in accordance with YWCA policy and accepted accounting practices;
· Ensures high level of confidentiality and privacy of financial records and employee information;
· Assists with system changes, filing and general correspondence;
· Assists with accounts receivable as required;
· Works safely, reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures,
· Familiar with, and adheres to the Occupational Health & Safety Act, (OHSA) Workplace Safety Insurance Board Act (WSIB), Human Rights and Employment Standards Act (ESA);
· Participates in annual Health & Safety training provided by the YWCA;
· Attends and participates in staff/team meetings;
· Ensures compliance with YWCA Hamilton policies and procedures;
· Understands emerging trends, leading practices, industry professional standards;
· Recommends changes to policies, processes and systems as appropriate to improve and enhance service delivery;
· Supports YWCA Hamilton mission, vision and values;
· Perform other duties as required.
WORKING CONDITIONS:
· Works 37.5 hour work week;
· Works on-site 4 days a week
Qualifications
· Completion of 2 years’ college in accounting, bookkeeping, or equivalent;
· Minimum 1 year’ experience in accounting or bookkeeping;
· Experience in Microsoft Excel considered an asset;
· Must be able to lead and work from a feminist, anti-racist / anti-oppressive perspective for operations and strategic planning; • Excellent written and verbal communication skills;
· Must provide a current Criminal record Judicial Matters or willingness to obtain at own cost;
· Ability to work independently with minimal supervision, and also work effectively in a team;
· Bilingual English/French or other languages an asset
