The Women in Need Society (WINS) in Calgary seeks an Accounting & Business Support Coordinator to handle accounting transactions, office administration, technology coordination, and records management for the Business Support division.

You will process AP/AR, assist month-end closing, support reporting, and maintain organizational records in SharePoint while upholding confidentiality and internal controls.

Qualifications

  • Two years of accounting and administrative experience.
  • Experience with AP, AR, payment processing and record keeping.
  • Experience working with external service providers is an asset.
  • Non-profit environment experience is an asset.
  • Strong attention to detail and confidentiality.

Responsibilities

  • Process accounts payable and accounts receivable transactions.
  • Assist with month-end closing activities and reconciliations.
  • Participate in routine financial reporting and data preparation.
  • Provide administrative support including reception, mail, and supplies.
  • Coordinate technology and service requests; onboarding/offboarding.
  • Maintain SharePoint records and document libraries.

Job description

Accounting & Business Support Coordinator

The Accounting & Business Support Coordinatorprovides accounting, office administration, technology and servicecoordination, and records-management support to the Business Support division.Reporting to the Manager, Accounting, the role processes routine accountingtransactions, supports daily office operations, coordinates technology andservice requests, and maintains assigned organizational records in accordancewith established policies and procedures.

Dutiesand Responsibilities:

Accounting Support

  • Process accountspayable and accounts receivable transactions in accordance with establishedprocedures and delegated authority, including verifying supportingdocumentation, entering transactions, preparing payments and deposits, andmaintaining accurate records. Transactions and payments requiring authorizationare submitted to the appropriate approver.
  • Perform accountspayable (AP) and accounts receivable (AR) processing, including timely andefficient payment processing.
  • Process organizationalcredit card administration, including maintaining supporting documentation andassisting with reconciliations.
  • Assist withmonth-end closing activities, reconciliations, and other assigned accountingprocedures.
  • Assist with routinefinancial and operational reporting, analytics, and data preparation.
  • Follow establishedaccounting procedures and internal controls and escalate discrepancies orquestions as appropriate.
  • Provide otheraccounting and finance support as assigned.

Administrative Support

  • Support theday-to-day operation of the administration office, including shared reception,telephone and door coverage, mail, couriers, catering, supplies, and documenthandling.
  • Coordinate officemaintenance requests and liaise with building management, vendors, and serviceproviders as required.
  • Ensure the Archiveroom is kept clean and organized.
  • Ensure that theSharePoint Homepage is up to date.
  • Identify and supportimprovements to administrative processes and workflows, including appropriateuse of digital tools and automation.
  • Provideadministrative support for projects, meetings, documentation, andcross-functional initiatives.
  • Serve as a centralpoint of coordination for routine technology, equipment and access requests,referring technical troubleshooting, cybersecurity and system-administrationmatters to the managed IT service provider or appropriate organizational lead.
  • Support employeeonboarding and offboarding by coordinating technology, equipment, and accessrequirements with internal stakeholders and the managed IT service provider.
  • Coordinateadministration of organizational telephone and mobile services, includingservice activations and changes, device assignments, vendor coordination, andrelated records.
  • Provide othertechnology coordination support as required.

Document and Records Management

  • Maintain organizedadministrative and organizational records in accordance with WINS'record-management policies, retention requirements, and established filingstructures, supporting consistent protocols and practices.
  • Maintain currentversions of assigned policies, procedures, forms, templates, contracts, andother controlled documents taking into consideration review schedules, renewaldates, tracking, and other filing or reporting deadlines.
  • Support theappropriate filing, archiving, confidentiality, and retrieval of records inSharePoint and other approved systems.
  • Assist departmentswith routine document and records-management practices and refer policyinterpretation, retention, privacy, or compliance questions to the appropriateorganizational lead.
  • Provide otherdocument, records-management, and organizational support to other departments,or as assigned within available capacity.

Requirements:

Education

  • Post-secondarydiploma or certificate in accounting, bookkeeping, business administration or arelated discipline. An equivalent combination of relevant education andprogressively responsible experience may be considered.

Experience

  • A minimum of two years ofrelevant accounting and administrative experience, including hands-onexperience with accounts payable, accounts receivable, payment processing,reconciliations and electronic record keeping.
  • Experience withaccounting processes such as AP, AR, payment processing, and reconciliations ispreferred.
  • Experience withoffice administration, document control, or records coordination is preferred.
  • Experience workingwith external service providers or supporting technology-related coordinationis an asset.
  • Experience in anon-profit environment is considered an asset.

  • Intermediate Microsoft Excel skills, including formulas, filters,sorting, lookups and reconciliation of data
  • Strong written andverbal communication and interpersonal skills.
  • Collaborative andservice-oriented, with the ability to work effectively across functions andwith external service providers.
  • Able to followestablished procedures while identifying practical opportunities to improveprocesses and efficiency.
  • Comfortable learningand using new technology, digital tools, and software applications.
  • Proficient inMicrosoft 365, including SharePoint, with the ability to maintain organizedelectronic records and document libraries.
  • Able to exercisesound judgment, discretion, and confidentiality.
  • Able to providesatisfactory results of a Police Information Check
  • Eligible to legallywork in Canada.
