POSITION: Operations and Finance Coordinator
WORKING HOURS: Monday to Friday, 7:45 am - 4:45 pm, with a one-hour lunch break
REPORTS TO: Business Director
TERMS OF EMPLOYMENT: This is a full-time position
POSITION OVERVIEW:
The Operations and Finance Coordinator is responsible for overseeing and streamlining the financial and operational activities of the American School of Brasília (EAB), ensuring efficiency, compliance, and alignment with the school’s strategic objectives. This role includes leadership of cross-functional teams, financial planning, procurement oversight, and people management to support a high-performing and service-oriented culture. The coordinator works closely with school leadership, faculty, staff, and external partners to support EAB's mission and strategic objectives.
JOB REQUIREMENTS:
- Education and Experience
- B.A. in Finance, Business Administration, or a related field.
- Minimum of three years of professional experience in financial management and operations, preferably within an educational or non-profit setting.
- Fluency in English and Portuguese (additional languages are a plus).
- Technical Skills
- Proficiency in ERP systems (e.g., TOTVS RM), including the ability to navigate, input, and extract data effectively.
- Proficiency in financial software, Microsoft Office Suite, and Database administration is highly desirable.
- Proficiency in financial reporting and analytics tools, such as advanced Excel or Business Intelligence tools, is highly desirable.
- Strong organizational, communication, and computer skills.
- Strong analytical and problem-solving skills.

DUTIES AND RESPONSIBILITIES:
- Manage daily financial operations, including bookkeeping, budgeting, payroll, expense control, accounts payable and receivable.
- Prepare and analyze financial reports for the Business Director and the Admissions Department.
- Ensure tax and regulatory compliance with Brazilian laws and internal policies.
- Administer the billing process for extracurricular activities throughout the school year.
- Prepare and issue monthly management reports, including revenue and student data.
- Operational Oversight
- Supervise procurement processes and vendor relations to ensure cost-effectiveness and quality.
- Oversee security operations, ensuring a safe and functional learning environment.
- Lead the evaluation and optimization of operational processes, using data to drive decisions.
- Coordinate compliance with audits, internal controls, and risk mitigation efforts.
- Reporting and Analysis
- Generate financial and management reports as requested by various departments.
- Assist in producing monthly financial analyses to inform decision-making.
- Monitor and update accounts reconciliations to ensure accuracy.
- People Management
- Lead and manage multidisciplinary teams across Finance, Supply Chain, Security, and IT/Management Systems.
- Define team goals, delegate responsibilities, provide coaching, and conduct performance evaluations.
- Promote a positive work environment through transparent communication, professional development, and accountability.
- Support change management initiatives and help staff adapt to new processes and tools.
- Stakeholder Engagement
- Act as a bridge between school leadership, external partners, and internal departments.
- Provide clear, service-oriented communication to staff, vendors, and the school community.
- Other Responsibilities
- Support the Business Director with any additional tasks as requested.
