Responsabilidades

• Provide front desk and reception support for employees, visitors, and vendors, ensuring a welcoming and professional workplace experience.
• Manage office access control, visitor registration, badge administration, and parking requests.
• Control and replenish office supplies and workplace materials, keeping operations running smoothly.
• Coordinate shipments and deliveries through DHL, postal services, couriers, and notary offices, and manage mail distribution.
• Support invoice submission, administrative documentation, and other operational routines.
• Act as backup for the Senior Workplace Analyst to keep day-to-day operations on track when needed.
• Collaborate with vendors and internal stakeholders to meet operational demands.

What your day-to-day will look like

• Provide front desk and reception support for employees, visitors, and vendors, ensuring a welcoming and professional workplace experience;
• Manage office access control, visitor registration, badge administration, and parking requests;
• Control and replenish office supplies and workplace materials, keeping operations running smoothly;
• Coordinate shipments and deliveries through DHL, postal services, couriers, and notary offices, and manage the receipt and distribution of mail, packages, and correspondence;
• Support invoice submission, administrative documentation, and other operational routines;
• Act as backup for the Senior Workplace Analyst, stepping in to keep day-to-day office operations on track when needed;
• Collaborate with vendors, internal stakeholders, and the broader Workplace & Facilities team to meet operational demands.

What you need to shine in this role

• Previous experience in Workplace, Facilities, Office Operations, Administration, or similar areas;
• Advanced or fluent English skills (mandatory, given front desk and stakeholder interaction responsibilities);
• Strong organizational and multitasking skills, with the ability to thrive in a dynamic office environment;
• Great communication and interpersonal skills, with a proactive and collaborative mindset;
• Proficiency in Microsoft Office and/or Google Workspace tools.

Bonus points if you have

• Experience supporting multiple stakeholders simultaneously in a fast-paced environment;
• Familiarity with workplace management tools or ticketing systems;
• Experience working in a tech or multinational company.
