The position focuses on coordinating service requests, resolving issues, and ensuring timely communication to maintain high customer satisfaction. The role includes scheduling, time entry, parts handling, and back‑up data entry duties across residential, commercial, and industrial projects.

Qualificações

  • Bachelor’s degree required.
  • Pre Advanced English level.

Responsabilidades

  • Scheduling for residential, commercial, and industrial customers; coordinating appointments and field activity.
  • Time entry: record and validate labor hours and job codes for billing and payroll.
  • Parts: manage receipt, storage, and distribution of parts and inventory.
  • Order/Data entry (backup): prepare and process service orders, invoices, and billing records.

Job Description Summary

A Customer Service Coordinator is responsible for managing and improving customer service experience by acting as a central point of contact between customers, service teams, and internal departments. This role involves coordinating service requests, resolving customer issues, and ensuring timely and efficient communication to maintain high levels of customer satisfaction.

Job Description
  • Scheduling: responsible for managing, organizing, and maintaining the daily, weekly, and long‑term scheduling needs of the organization for residential, commercial, and industrial customers. This role ensures that all appointments, service calls, emergency calls, internal meetings, and operational activities are accurately planned, communicated, and executed. The Scheduling Coordinator serves as a central point of coordination between departments, clients, and field personnel, ensuring efficiency, clarity, and operational continuity.
  • Time entry: responsible for accurately recording, validating, and maintaining all labor hours associated with service work, projects, and operational activities. This role ensures that technician time, job codes, and labor allocations are entered correctly and in compliance with company policies and billing requirements. The Time Entry Specialist plays a critical role in supporting payroll accuracy, service order billing, and operational reporting.
  • Parts: responsible for the accurate receipt, organization, distribution, and documentation of all parts, materials, and inventory used within the organization. This role ensures that technicians, service teams, and operational departments receive the correct components in a timely manner, supporting efficient workflow and high‑quality service delivery. Maintains strict inventory controls, adheres to company standards, and upholds a professional, safety‑focused work environment.
  • Order/Data entry (backup): responsible for the accurate preparation, review, and processing of all service‑related documentation, including service orders, invoices, and billing records. This role ensures that all completed service activities are properly documented, priced, and communicated to customers in a timely and professional manner. This role supports financial accuracy, operational efficiency, and customer satisfaction by maintaining strict attention to detail and adhering to company standards and compliance requirements.

  • Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
  • Planning and Organizing: Knowledge of the process of planning and arranging tasks and resources; ability to plan and organize both time and resources to get things completed while structuring and maintaining work in a systematic and highly methodical way.
  • Problem Solving: Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations.
  • Service Excellence: Knowledge of customer service concepts and techniques; ability to meet or exceed customer needs and expectations and provide excellent service in a direct or indirect manner.

Note: This position requires the candidate to work onsite five days a week.
