Job description

The Senior Data Entry Specialist will be responsible for managing, reviewing, and maintaining accurate data across internal systems, databases, spreadsheets, and other business platforms. The role focuses on ensuring data accuracy, completeness, consistency, and timely processing while supporting efficient data management and operational reporting.

The successful candidate will enter, update, verify, and maintain large volumes of information from multiple sources. Responsibilities include reviewing source documents, validating information, identifying missing or incorrect data, and ensuring that records are properly entered according to established procedures and data standards.

Review and verify data submitted by internal teams, customers, suppliers, or other stakeholders. Identify discrepancies, duplicate records, incomplete information, formatting issues, and other data-quality concerns. Investigate issues where necessary and coordinate with relevant teams to obtain accurate information or complete outstanding records.

Maintain and organize databases, spreadsheets, digital records, and other data repositories. Ensure that information is properly categorized, updated, and accessible to authorized users. Follow established procedures for data handling, file management, record retention, and documentation.

The role may involve monitoring data quality and conducting regular audits or validation checks. Review existing records to identify inconsistencies and recommend appropriate corrections. Support the development and improvement of data validation processes to reduce errors and improve overall information quality.

Prepare data summaries, reports, trackers, and operational updates when required. Extract relevant information from databases and spreadsheets and present data in a clear and organized format to support internal teams and management.

The Senior Data Entry Specialist may also provide guidance and support to junior data entry personnel. Responsibilities can include reviewing completed work, answering procedural questions, sharing best practices, and helping maintain consistent data-entry standards across the team.

Work closely with operations, administration, finance, customer service, sales, and other departments to ensure that data requirements are properly understood and managed. Communicate professionally when following up on missing information, clarifying records, or resolving routine data-related issues.

Support data migration, system updates, database maintenance, and other information-management activities when required. Assist with reviewing and validating data before and after system changes to ensure information remains accurate and complete.

Maintain confidentiality when handling business, customer, employee, financial, or other sensitive information. Follow organizational policies and established data security procedures to ensure that information is handled responsibly.

Contribute to continuous improvement by identifying inefficient workflows, recurring data issues, and opportunities to improve data-entry processes, validation methods, reporting accuracy, and operational efficiency.
