Yateem Air Conditioning Company W.L.L invites a detail-oriented Sales Coordination Administrator to support DX projects. You will log inquiries, prepare quotations, and coordinate with sales, estimation, procurement, and project teams to ensure timely proposals and documentation.

The role emphasizes maintaining records, meeting bid schedules, and producing regular sales reports for management. A Diploma orBachelor’s in business or engineering is preferred, with 3 years’ related experience.

Qualifications

• Diploma or Bachelor’s degree in business administration, Marketing, Engineering, or a related field.
• Minimum of 3 years of experience in sales coordination, tender administration, or secretarial support within the DX air-conditioning or MEP contracting industry.
• Proficiency in Microsoft Office applications; familiarity with ERP or CRM systems is preferred.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• High attention to detail and accuracy in documentation.

Responsibilities

• Receive, register, and maintain a systematic log of all enquiries, requests for quotations, and tender invitations pertaining to DX air-conditioning projects.
• Coordinate the preparation, review, and submission of quotations, bids, and technical proposals for DX systems, including VRF/VRV, packaged, split, and ducted split units.
• Maintain up-to-date records of enquiries, quotations, sales bookings, and project status, ensuring that all data is accurately reflected in departmental reports and systems.
• Liaise with the DX sales, estimation, procurement, and project teams to obtain technical and commercial inputs required for proposals and project planning.
• Monitor bid due dates, equipment submittals, and submission schedules to ensure timely completion and delivery of all project documentation.
• Prepare weekly and monthly reports on sales activities, bookings, pending quotations, and project progress for management review.
• Assist in planning and coordinating project activities, including submittals, documentation, and follow-up with clients, suppliers, and internal stakeholders.
• Maintain an organized and confidential filing system for all sales, tender, and project-related documents.
• Perform general secretarial and administrative duties, including preparing correspondence, scheduling meetings, and managing departmental communications.
• Carry out any other duties assigned by the Head of Project Sales & Engineering in support of the DX Projects business.
