Provides a professional and welcoming first impression for visitors, students, and staff. Manages the front desk and supports daily operations. This includes scheduling appointments, handling communication, and ensuring a smooth flow of information within the academy, all while fostering a positive image for the academy.
- Greets clients as they enter the academy and responds to their concerns appropriately/directing them with the appropriate team members to respond to their concerns.
- Manages the front desk area, ensuring a clean, organized, and welcoming environment.
- Handles the main reception desk by answering telephone calls, directing visitors and guests, and answering their inquiries whilst relaying clear messages and information as appropriate.
- Ensures professionalism is maintained & information is clearly and accurately provided to all visitors, staff, & cadets, consistently. Ensures adherence to all company standards, procedures, and regulations to foster a positive image for the company.
- Ensures the comfort of all visitors, guests and applicants waiting in the main reception area, provides them with refreshments and escorts them to the required office if needed.
- Provides general non-technical information in response to queries from the public.
- Maintains accurate records of visitors and deliveries.
- Liaises with concerned departments within and outside the organization for any customer or training-related inquiries and keeps an effective communication process.
- Responds to customers for inquiries related to ELP and bookings for ELP, ensuring timely response and accurate information is provided.
- Books English Language Proficiency (ELP) assessment for cadets, ABY, external individuals, and/or external companies.
- Collects and promptly delivers documents, stationery, and messages within the office in a timely and efficient manner. Handles the enrolment process for MPL Cadets and all other trainees/customers for different trainings/products.
- Manages records of all applicants until they join the academy for any training.
- Assists line manager with the processing of applications, ensuring they are complete, and payments have been processed through the CRM system.
- Facilitates student enrolment processes by liaising with other departments such as Assessment, Medical Center, etc
- Helps the line manager with the preparation of enrolment letters, management of training agreements, and keeping track of the upcoming batches.
- Assists with the organization of open days, including safety communication, agenda planning, and visitor management.
- Analyzes customer feedback and trends to identify areas for improvement within the department.
- Provides basic administrative support to other departments (e.g., photocopying, printing).
- Applies for security approval for cadets.
- Performs any additional duties as directed by the line manager.
Qualifications (Academic, training, languages)
- Minimum bachelor's degree in management or related field; high school diploma or equivalent
Work Experience
- 2+ years of experience in a similar role/handling similar tasks.
- Knowledge of the aviation industry is an advantage.
