AIT Worldwide Logistics in Antwerp is seeking an Operations Agent Airfreight to coordinate and execute international air freight shipments. The role includes managing customer requirements, preparing quotations, and ensuring compliance with security regulations.

The ideal candidate will have at least 3 years of experience in air freight forwarding, be fluent in English and Dutch, and possess strong problem-solving skills. A competitive salary and comprehensive benefits package are offered.

Overview

As Operations Agent Airfreight, you will coordinate and execute international air freight shipments end to end, ensuring customer requirements are met through accurate quotations, scheduling, documentation, tracking, and billing in line with SOPs, KPIs, and regulatory requirements. You will proactively manage shipment status and exceptions, collaborate with customers, partners, and internal teams, and ensure full compliance with safety, security, and Dangerous Goods regulations while contributing to a safe work environment. The role will initially be based from our office in Antwerp, but might expand to Brussels in the future.

Responsibilities

• Work with customers to qualify their shipping requirements and obtain all details (regulations, certificates, documentation) necessary for shipment quotation and operating to ensure the customer’s request is satisfied
• Prepare profitable quotations accurately
• Set shipping schedules and communicate with customers, deliverers, and ports to verify loading, departures, and arrivals in a timely manner
• Coordinate the day-to-day import and/or export of products, including reviewing orders and documents
• Track and communicate all delays, damages, problems and work to resolve customer issues
• Responsible for all aspects of air international operations such as customer service, data entry of shipments, operations and billing
• Manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system immediately upon verification. Identify and rectify if a shipment has deviated from its schedule
• Coordinate recovery/delivery schedules with various cartage agents and international partners
• Partner with local sales teams to communicate problems to customers, international partners, and other stations, as needed
• Ensure all customers’ SOP instructions are adhered to and AIT KPIs and guidelines are followed and met
• Ensure all shipments are properly billed within company guidelines and timelines
• Process and comply with all requirements listed by regulatory agencies
• Network with corresponding departments to ensure files are billed and posted prior to end of month
• Execute all Dangerous Goods shipments in compliance with all applicable laws and regulations (as applicable)
• Contribute actively to a healthy and secure work environment by reporting unsafe/ unsecure/ unhealthy conditions and possible improvements

Qualifications

• min. 3 years of experience as a Air Freight Forwarder
• Utilizes established procedures but decides action within task
• Must be able to perform in a fast pace / high volume work environment
• Attention to detail
• Problem Solving
• Fluent oral and written English and Dutch is a must
• Strong PC skills (Windows, Microsoft Office applications) preferred
• Cargo Wise Software experience a plus
• ITAR, Dangerous Goods or TSA work experience / regulations
• VGB security clearance (or the ability to obtain it) is required for this position
