Jan De Nul Group is seeking an organized and proactive Office Assistant to support one department and help keep day-to-day operations running smoothly in the Aalst office.

You will manage documents, schedule meetings, prepare presentations, handle visitors, and support onboarding and events, while maintaining accurate filing and responsive communication in Dutch and English. A permanent contract and competitive benefits are offered.

Qualifications

  • Bachelor’s degree or equivalent experience in office management.
  • Fluent in Dutch and English, written and spoken.
  • Excellent MS Office knowledge and familiarity with other tools.
  • Discretion with sensitive information and good trust.
  • Proactive, able to prioritize and work under pressure.
  • Available to work full-time in the office.

Responsabilités

  • Together with the Management Assistant, you will form the administrative backbone of the team and ensure that day-to-day operations run smoothly and efficiently.
  • You will support the managers and the team with a wide range of administrative tasks. You process documents, draw up schedules and presentations, carry out comparative analyses and ensure that all information is available in a correct, complete and clearly organised manner.
  • You organise meetings, appointments and business trips from start to finish. You book meeting rooms and restaurants, liaise with internal and external contacts, and ensure that everything is arranged down to the last detail.
  • You welcome visitors in a professional and hospitable manner and direct them to the appropriate contact person.
  • You will be responsible for the administrative follow-up of a wide range of internal processes. You will process requests, follow up on files and ensure that everything is handled correctly and on time.
  • Is a new colleague joining or is someone leaving the team? In that case, you will ensure that all administrative and practical preparations run smoothly, so that the onboarding or departure can take place without any worries.
  • You’ll support the Management Assistant in organising events and team activities and actively contribute to smooth collaboration within the team.
  • You’ll manage documents and files in a structured manner, ensuring accurate filing and proper administrative follow-up.
  • You handle incoming and outgoing correspondence with due care and a keen eye for detail. Thanks to your organisational skills, proactive approach and ability to prioritise, you effortlessly maintain an overview and take the pressure off the team day in, day out.

What do you bring?

  • You have a bachelor’s degree in Office Management or equivalent experience.
  • You can express yourself fluently in Dutch and English, both verbally and in writing. Do you speak any other languages? If so, we’d consider that a plus!
  • You have a very good knowledge of the MS Office suite and can quickly navigate your way around other administrative tools.
  • You handle sensitive information discreetly and build trust.
  • You have a wide range of interests and prefer a varied role in a dynamic working environment where you are not afraid to take initiative.
  • You are proactive, able to cope well under pressure, can switch quickly between different tasks and know how to set priorities, without losing sight of accuracy or less urgent matters.
  • You are keen to develop in the role and, in the long term, you will contribute ideas on new ways to make support even more efficient.
  • You are available to work full-time in the office.
