Job summary

Spektrum is seeking a Project Coordinator to support NATO NCIA projects from our Belgium office. You will coordinate planning, communications and governance across technical teams and stakeholders, ensuring milestones are met and documentation is maintained.

Key responsibilities include developing plans, trackers, risk registers and status reports, organizing meetings, and enabling smooth information flow with external suppliers where applicable. On-site in Belgium with some travel possible.

Qualifications

• 5+ years of professional experience as a Project Coordinator or similar role coordinating and delivering projects.
• Experience coordinating multiple projects or workstreams within a complex organisation.
• Proven ability to develop and maintain project plans, schedules, trackers and risk registers.
• Professional certification in PRINCE2, PMP, Agile, Scrum or similar framework is an asset.

Responsibilities

• Support planning, coordination and monitoring of technical projects with milestones and deadlines.
• Coordinate activities across technical teams, management and stakeholders with clear communication.
• Develop and maintain project documentation: plans, schedules, trackers, risks, issues and minutes.
• Monitor progress against plans, milestones and objectives, flagging delays and risks.
• Prepare regular management reports, dashboards and status updates for decisions.
• Organise meetings, workshops and governance activities with agendas and minutes.
• Act as central coordination point for project information and communications with suppliers where applicable.
• Support resource, workload and activity planning to ensure priorities are visible.
• Contribute to process improvements in planning, reporting, governance and delivery.
