Automatic Systems in Belgium is seeking a Customer Service Representative to ensure smooth communication between internal departments and customers. You will coordinate orders, track deliveries and manage ERP documentation to support timely invoicing.

Responsibilities include internal sales support, 360° ERP processing, and coordination with Belgian and French plants. Fluency in Dutch, French and English is required; technical education or experience is essential.

Qualifications

• Technical education or adequate experience in a technical field.
• Experience in customer support and ordering processes.
• Fluent in Dutch, French and English; other languages a plus.

Responsabilités

• Support customers from the inside (internal sales).
• 360° order processing in the ERP system (order entry, order tracking, logistics, invoicing).
• Review and approve orders for spare parts and complete systems with required documents.
• Keep ERP documents up to date; invoicing and tracking per finance conditions.
• Be primary contact for customers regarding delivery times and transport.
• Coordinate with plants in Belgium and France.

FUNCTION

As a Customer Service Representative, your goal is to satisfy customers by ensuring smooth communication and interaction between internal departments (sales, production, planning, finance, ...) and external stakeholders (customers, subsidiaries, carriers, suppliers, ...).

In Detail, Your Tasks Are

• Supporting customers from the inside (internal sales)
• 360° order processing in the ERP system (order entry, order tracking, logistics, invoicing)
• Review, process and approve orders for spare parts and complete systems after collecting all technical and commercial documents required for the proper execution of the order.
• Keeping documents in the ERP system up to date
• Invoicing and tracking in compliance with the conditions set by the finance department
• Contact point: You are the customer's main point of contact for all questions concerning the further processing of an order (delivery times, transportation, ...)
• Tracking the processing status until the material is available (coordinating the dispatch of orders)
• Coordination with the plants in Belgium and France
• Technical education or adequate experience in a technical field
• Experience in customer support (customer contact & ordering)
• You are fluent in Dutch, French and English, another language as a plus
• Good knowledge of the industrial sector and technical products
• Proficiency in MS Office and knowledge of an ERP system
• A good communicator who easily interacts with different departments and colleagues
• Dynamic and proactive: you are not afraid to take the initiative and expand your knowledge (especially technical).
• Customer and solution-oriented: You have a strong business sense with the will to find realistic solutions to satisfy the customer.
• You are able to handle tense situations with customers calmly and firmly.
• Organized and thorough: you keep your files structured and are not easily overwhelmed by stress.
