EY is seeking a Bid Coordinator for EU Institutions tenders in a hybrid role based near Brussels. You will coordinate the end-to-end tender process, ensure compliance, manage timelines and collaborate with proposal teams, subject matter experts and consortium partners.

The position emphasizes organisation, stakeholder management and attention to detail in a fast-paced environment, with English as the primary language and French or other EU languages as a plus.

Qualifications

• Master’s degree in European Studies, Political Sciences, Public Administration, Economics, Business Administration, Law, or related discipline.

Responsabilités

• Coordinate tenders from qualification through submission on EU tendering portal, ensuring timely delivery and compliance with requirements.
• Manage bid timelines, track progress, and follow up with contributors on key actions and deadlines.
• Support mobilisation and coordination of EY experts and external consortium partners in proposals.
• Liaise with clients, consortium partners, and internal stakeholders on clarification requests and administrative matters.
• Coordinate collection, review and consolidation of admin, legal, contractual and eligibility documents for tender submissions.
• Assist in preparing selection criteria by collecting and validating project references, CVs and supporting evidence.
• Contribute to proposal quality and compliance reviews, ensuring alignment with tender requirements and EY policies.
• Analyse tender docs and support proposal teams with bid plans, compliance matrices, templates and tools.
• Contribute to continuous improvement of bid management processes, tools and knowledge repositories.

EY has a centralised unit in Brussels, acting as an interface of the EY international network with the European Union. This multi-disciplinary and multilingual team leads and coordinates the efforts of EY worldwide on EU tender opportunities and identifies best practices, know-how and expertise to suit the needs of our global clients.

We are looking for someone to join the EU dedicated team as Bid Coordinator for EU Institutions tenders. The position is a full-time employment and interacts with the network of colleagues across EY offices worldwide who cooperate closely with the team.

The role focuses on coordinating the proposal process, ensuring compliance with tender requirements, managing administrative and selection documentation, and supporting the timely submission of high-quality proposals. It does not involve leading the drafting of technical methodologies or commercial offers but requires close collaboration with proposal teams, subject matter experts, consortium partners, and internal stakeholders.

Your Key Responsibilities

• Coordinate assigned tenders from qualification through submission on EU tendering portal, ensuring timely delivery and compliance with client requirements.

Your Profile

• Master’s degree in European Studies, Political Sciences, Public Administration, Economics, Business Administration, Law, or a related discipline.
• Previous exposure to bid management, proposal coordination, EU procurement, or project coordination through internships, academic projects, or up to one year of professional experience is considered an asset.
• Highly organised, dependable, and accountable, with a strong sense of ownership and a commitment to delivering high-quality results on time.
• Able to thrive in a fast-paced, deadline-driven environment, effectively managing multiple priorities and competing deadlines.
• Proactive, hands‑on, and eager to take initiative, with a strong learning mindset and the ambition to continuously develop professionally.
• Strong communication, coordination, and stakeholder management skills, with the ability to build effective working relationships across teams and seniority levels.
• Excellent attention to detail, ensuring accuracy, quality, and compliance in all aspects of your work.
• A collaborative team player who is comfortable taking ownership, working independently, and escalating risks or issues when appropriate.
• Excellent command of English is required; knowledge of French and/or other EU languages is considered a strong advantage.
• Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
