Rugby World Cup Australia 2027 is seeking a Team Welcome Ceremonies Event Lead to drive end‑to‑end planning and delivery of the Men’s Rugby World Cup 2027 Team Welcome Ceremonies across seven host cities. Based in Sydney, you’ll manage venue selection, suppliers, logistics and on‑site operations to deliver world‑class experiences for teams, dignitaries and fans.

Qualifications

• Minimum 3 years’ experience planning and delivering live events, ideally within major sporting events, international events or complex multi‑venue programmes.
• Project management expertise, with the ability to manage multiple concurrent events, workstreams, schedules, budgets, risks and deadlines.
• Proven experience coordinating venues, suppliers, production partners and event‑day operations from planning through to delivery.
• Strong stakeholder management and communication skills, with experience working with VIPs, dignitaries, senior leaders, international teams and external partners.
• Excellent negotiation, relationship‑building and collaboration skills across diverse teams and stakeholder groups.
• Highly organised and detail‑oriented, with problem‑solving and fast‑paced decision making.
• Willingness to travel and work outside standard hours to support delivery.

Responsibilities

• Deliver 24 Team Welcome Ceremonies across seven host cities.
• Translate ceremony concepts into operational plans with schedules, budgets, risk documents and delivery frameworks.
• Coordinate venue selection and readiness, including security, accreditation, transport, catering and guest experience.
• Procure, brief and manage suppliers and contractors; monitor costs and service standards.
• Manage ceremony content: scripts, run sheets, rehearsals and AV requirements.
• Lead event‑day operations, staffing, rehearsals, arrivals and bump‑out activities.
• Maintain budgets, risk registers and governance; support workforce deployment and safety compliance.
