Rugby World Cup Australia (RWCA) is seeking a Team Welcome Ceremonies Event Lead to deliver the opening ceremonies for the Men's Rugby World Cup 2027. You will report to World Rugby’s Director of Corporate Events and collaborate with a second Event Lead to roll out ceremonies across seven host cities.

You will coordinate with Team Services, Security, Marketing, Legal and local partners, ensuring venues are prepared, VIPs are managed and production runs on schedule.

Qualifications

• Minimum 3 years’ experience in planning and delivering live events.
• Experience with major sporting or international events preferred.
• Strong ability to manage multiple events, budgets and deadlines.

Rugby World Cup Australia (RWCA) is looking for a Team Welcome Ceremonies Event Lead to help deliver the Men's Rugby World Cup 2027.

The Role

Reporting to World Rugby's Director of Corporate Events, and working alongside another Event Lead, you will plan and deliver the ceremonies that officially welcome all 24 participating teams to Australia.

You will work across seven host cities with Team Services, Security, Marketing and Legal, as well as host city partners, tourism bodies and suppliers.

Key Responsibilities

• Plan and deliver 24 Team Welcome Ceremonies across seven host cities
• Turn ceremony concepts into operational plans, schedules, budgets and risk documentation
• Coordinate venue selection and readiness, including access, security, accreditation, transport, catering and branding
• Procure and manage suppliers, production partners and contractors
• Manage ceremony content and production, including scripts, run sheets, rehearsals and AV
• Lead event-day operations, from bump-in and briefings to live delivery and bump-out

About You

• At least 3 years' experience planning and delivering live events, ideally major sporting or international events
• Project management expertise across multiple events, budgets and deadlines
• Experience coordinating venues, suppliers and event-day operations
• Strong stakeholder management, including VIPs, dignitaries and international teams
• Highly organised, with strong problem-solving skills
• Flexibility to travel and work evenings and weekends

Key Details

• Location: Sydney CBD, Australia
• Contract: Full-time fixed-term contract, February 2027 to November 2027
• Hybrid working (four days a week in the office), moving to full-time in the office as the tournament approaches
