Job summary

UGL is seeking a Project Administrator to support the Warehouse & Logistics Manager at our Nunawading project site. The role covers clerical, administrative and organisational tasks, end-to-end procurement, vendor liaison, and data management in SAP and reporting systems.

You will coordinate delivery schedules, ensure time sheets and reports are completed daily, and assist the contracts and procurement team with vendor activities. This full-time role is based in Melbourne’s inner suburbs.

Qualifications

  • Previous administrative experience in a Construction / Project site environment.
  • Proficient skills in computers: MS Word, Excel, Access, email etc.
  • Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through in a fast paced environment with multiple and competing demands.

Responsibilities

  • Coordinate and support end-to-end procurement processes across the project per Delegations of Authorities and project plans.
  • Create purchase requisitions using designated system.
  • Liaise with vendors and provide information per company procedures.
  • Maintain SAP Inventory Management master data and related systems.
  • Update SAP Inventory Management data and reporting graphs for status.
  • Ensure daily reports are actioned and completed.
  • Assist with Time Sheet compliance administration.
  • Coordinate delivery schedules input and updates.
  • Support Contracts and Procurement with vendor engagement activities.
  • Draft and coordinate correspondence for purchasing requirements.

About The Role

Based in our Nunawading project site office, this role will provide clerical, administrative and organisational support to the Warehouse & Logistics Manager, the Warehouse team in conducting and achieving the following tasks:



  • Co-ordinate and support end to end procurement processes across the project in accordance with Delegations of Authorities and project management plans

  • Create purchase requisitions using designated system

  • Liaise with vendors on enquiries and provide necessary information as required by company procedures

  • Create master data requirements into system (SAP Inventory Management)

  • Manage and maintain relevant systems and administrative data in SAP, ensuring co-ordination with relevant delivery schedules

  • Manage and maintain the SAP Inventory Management database daily, updating graphs, and data for reporting status as and when required.

  • Ensure all reports are actioned and completed daily

  • Ensure Time Sheet compliance administration

  • Responsible for input and co-ordination of the Delivery schedule

  • Assistance to Contracts and Procurement team with vendor engagement activities

  • Draft and coordinate correspondence and provide sound and practical advice on purchasing requirements in accordance with processes and procedures.

  • Managing daily warehouse receiving, picking and dispatching demand, providing reports, graphs, and data for Warehouse Department as and when required.

  • Ensure compliance with all record keeping requirements.

  • Maintaining Cost Control, and protecting cashflow ensuring vendor invoice payments are able to be processed in a timely manner.

  • Collating information to be included in monthly reports.
