TDT Training is seeking an organised, proactive office administrator to support the Bendigo office, processing student bookings, enrolments and enquiries, and helping trainers and students comply with regulatory requirements.
You’ll manage day-to-day administration, maintain accurate records in VETtrak, and assist with VicRoads materials and audits, while contributing to a safe, efficient, and friendly client experience.
TDT Training is an accredited heavy vehicle training and assessment provider with sites across Victoria, including Bendigo, Ballarat, Sunshine, Sale, Geelong (coming soon!) and Headquarters at Hallam. We’re known for practical, one-on-one instruction from experienced trainers, and for helping people get the licences and skills that lead to real work in transport, logistics and industry. Our Bendigo office is often the first point of contact for students, employers and government clients. We’re looking for someone who will make every one of those interactions count.
About the Role
This is a hands-on support role combining training administration, customer service and office support. You will help the Bendigo office run smoothly by processing student bookings and enrolments, supporting trainers and students, managing enquiries, and keeping accurate records that meet TDT and regulatory compliance requirements.
A Typical Week Might Include
Opening the office and preparing the day’s training schedule, student course sheets and resources
Helping a student who’s nervous about their assessment, or an employer booking a group of drivers
Making booking confirmation calls at least seven days before training, and rebooking students when schedules change
Checking that enrolments, evidence and student files are complete and audit-ready
Downloading and auditing training and assessment videos within VicRoads timeframes
Following up unpaid invoices and keeping records current in VETtrak
Supporting trainers with paperwork, stationery and day-to-day queries
Key Responsibilities
Process student bookings and course enrolments, and prepare daily booking reports
Manage reception, phone, email and face-to-face enquiries professionally and promptly
Maintain student enrolment files and archive records each year in line with contractual and regulatory requirements (including the Standards for RTOs)
Manage and issue VicRoads-supplied materials (NHVLAR and COC books) to authorised assessors and other sites, and keep the VicRoads register up to date
Complete video audits and downloads, and assist with monthly VicRoads integrity audits
Follow up unpaid invoices with students and companies in line with TDT’s payment terms
Receive and distribute mail, order stationery and keep supplies stocked for trainers
Attend internal meetings and take minutes when required
Follow safe work practices and support a strong safety culture on site
Assist with administration and other tasks as delegated
What Success Looks Like
In your first six to twelve months, you’ll have:
Bookings, course sheets and resources that line up smoothly for trainers and students
Student records and VicRoads registers that are accurate, complete and ready for audit at any time
Video audits, integrity audits and reports completed within required timeframes
Students and clients who leave with a positive experience and recommend TDT
Trusted, reliable working relationships with trainers, your manager and Head Office
About You
You’ll thrive here if you:
See a problem, deal with it, and keep people informed
Are patient and respectful with students from all backgrounds, including those returning to study or learning in a second language
Understand that in a regulated industry, the paperwork matters as much as the training
Stay calm when busy mornings, changing schedules and competing priorities come your way
Back your colleagues and work well with a head office that’s not in the building
Understand that safety in a heavy vehicle training environment is not negotiable
Key Selection Criteria
Experience in an administration, customer service or office support role
Strong administration, organisation and record-keeping skills, with close attention to detail
Ability to manage competing priorities and meet deadlines
Strong written and verbal communication and customer service skills
Strong computer literacy, including Microsoft Office and accurate data entry
Proactive, accountable, and able to work independently and as part of a team
Current National Police Check, or willingness to obtain one
Experience supervising, coordinating or mentoring staff, or leading a small team
Experience assisting with the day-to-day operations of a site, branch or office
Certificate IV or Diploma in Business Administration, Training or a related discipline
RTO experience and an understanding of VET compliance
Knowledge of VETtrak (desirable)
Experience with VicRoads or WorkSafe contracts
Familiarity with the transport, logistics or heavy vehicle industry
What We Offer
Support and regular contact with an experienced management team
Work that makes a visible difference, helping people gain licences and secure employment
Opportunities to learn, grow your skills and develop towards leadership as TDT expands
Employee wellbeing program, EAP, employee incentives and TDT social events
