Job summary

Rugby World Cup Australia is seeking four Team Services Coordinators to support the delivery of the Men's Rugby World Cup 2027 in Sydney. You will coordinate team operations, manage logistics, and engage with international stakeholders to ensure world-class support throughout the tournament lifecycle.

The role requires strong organisational and communication skills, the ability to manage multiple priorities, and flexibility to travel and work outside standard hours during event periods.

Qualifications

  • Minimum 2 years' experience in event operations or project coordination.

  • Excellent written and verbal communication to engage diverse stakeholders.

Responsibilities

  • Support the coordination of team operations, communications and logistics for participating teams.
  • Assist with planning Team Site Visits, Manager Meetings, workshops and engagement activities.
  • Maintain databases, trackers and project plans with high accuracy.
  • Liaise with internal teams and stakeholders to monitor requirements and deadlines.
  • Assist with scheduling, documentation management and onboarding Team Liaison Officers.
  • Provide administrative and financial support, including budget tracking and reporting.

Rugby World Cup Australia is looking for 4 x Team Services Coordinators to join the team delivering Men's Rugby World Cup 2027. Based in our Sydney CBD office, you will play a key part in supporting participating teams from around the world throughout their tournament journey. Working closely with the Team Services Managers, you will support the delivery of services to Participating Teams through effective project coordination, information management, logistics support and stakeholder engagement. This is a unique opportunity to contribute to the delivery of a world-class sporting event while collaborating with internal stakeholders, service providers and tournament experts.

This role is ideal for a highly organised and proactive coordinator who thrives in a fast-paced environment and enjoys managing multiple priorities. From coordinating team visits and training schedules to supporting project administration, stakeholder engagement, and tournament-time operations, no two days will be the same!

Key responsibilities include but are not limited to:
  • Support the coordination of team operations, communications and logistics, ensuring participating teams receive consistent, world-class support throughout the tournament lifecycle.
  • Support the planning and delivery of Team Site Visits, Team Manager Meetings, workshops and other key engagement activities.
  • Maintain Team Services databases, trackers, schedules, project plans, reporting tools and confidential team information with a high level of accuracy.
  • Liaise with internal functional areas and tournament stakeholders to monitor requirements, deadlines, compliance and operational readiness.
  • Assist with team scheduling, operational planning, documentation management, and the onboarding and deployment of Team Liaison Officers and Interpreters.
  • Provide administrative, financial and tournament-time operational support, including budget tracking, invoice processing, reporting and the successful delivery of Team Services activities.
Qualifications & Experience
  • Minimum 2 years' experience in event operations, project coordination, administration, sports environments, or a similar role.
  • Strong organisational and administrative skills, with exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to build relationships and engage a broad range of stakeholders.
  • Proven ability to manage multiple priorities, meet competing deadlines, and adapt in a fast-paced, changing environment.
  • Proactive, resilient and solutions-focused, with a collaborative approach and strong professional integrity.
  • Experience working with international stakeholders, major events, multicultural environments, or elite sport programs will be highly regarded.
  • Flexibility to travel and work outside of standard business hours including evenings and weekends during event periods.
