Job summary

Rugby World Cup Australia is seeking an experienced Fleet & Bus Coordinator to join our Sydney team. Based in our Sydney office and reporting to the Fleet & Bus Operations Manager, you will plan and coordinate transport operations to keep Rugby World Cup 2027 moving, working with suppliers and stakeholders to deliver safe, efficient transport.

Rugby World Cup Australia is looking for an experienced Fleet & Bus Coordinator to join the team! Based in our Sydney office and reporting to the Fleet & Bus Operations Manager, you will play a key role in planning and coordinating the transport operations that keep Rugby World Cup 2027 moving. Working closely with the Fleet & Bus Operations Manager, suppliers, and stakeholders across the tournament, you will play a central role in delivering safe, efficient, and reliable transport services for teams, officials, workforce, media, and other key tournament participants. You will help coordinate fleet operations, vehicle allocations, bus scheduling, supplier deliverables, and transport requirements across multiple venues and operational environments, ensuring services are planned and executed to the highest standard.

This is a unique opportunity to gain hands‑on experience delivering a world‑class global sporting event, supporting transport operations from early planning stages through to tournament‑time delivery. You will be involved in managing vehicle and bus schedules, coordinating suppliers, supporting driver recruitment and training programs, maintaining transport data and systems, and helping solve complex operational challenges in a fast‑paced environment. Working alongside experienced event professionals, you will contribute to the successful movement of thousands of tournament participants while gaining career-defining experience in one of Australia's largest and most prestigious sporting events.

Key responsibilities include but are not limited to:
  • Support the planning and delivery of all fleet and bus operations across Rugby World Cup 2027, ensuring services are delivered safely, efficiently, and on schedule.
  • Develop and maintain transport plans, vehicle allocations, fleet requirements, and bus schedules within tournament management systems.
  • Coordinate with bus operators, fleet rental providers, and other transport suppliers to ensure seamless planning, communication, and service delivery.
  • Plan and deliver driver and fleet workforce training programs, working closely with internal teams and external partners to ensure operational readiness.
  • Build strong relationships across the organisation and ensure fleet and bus operational requirements are effectively communicated and integrated into tournament planning.
  • Contribute to the development of policies, procedures, and operational processes while managing transport requests, prioritising competing demands, and supporting successful tournament delivery.
Qualifications & Experience
  • 2 years experience in fleet, bus, transport, logistics, or operational coordination, ideally within major events, sport, or large‑scale operational environments.
  • Events industry experience and Australian‑based events or operational experience (mandatory)
  • Demonstrated experience planning and delivering fleet and/or bus operations, including scheduling, resource coordination, and service delivery.
  • Experience working with external suppliers, contractors, and service providers, with the ability to build strong and collaborative partnerships.
  • Proficiency using transport management systems, scheduling platforms, or other operational planning tools.
  • Excellent organisational and planning skills, with the ability to manage competing priorities and deliver outcomes within fixed timeframes.
  • Strong communication, stakeholder management, and interpersonal skills, with the ability to work effectively across multiple teams and functions.
  • High attention to detail, sound analytical and problem‑solving capability, and a proactive approach to operational challenges.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint), including the preparation of plans, reports, and operational documentation.
  • Work flexibly outside of standard business hours including evenings and weekends during event periods.
