Job summary

John Holland is seeking a Team Assistant to support the General Manager Construction Engineering and the Queensland Engineering team from our Brisbane office on an initial 12-month, part-time contract. The role is 3–4 days per week with some Monday/Friday off days and requires regular office attendance.

You will assist with diary management, travel, reports, invoicing, procurement and records management, under the EA’s guidance.

Qualifications

• Experience supporting executives or senior managers.
• Strong organisational and communication skills.
• Discretion and confidentiality are essential.

Responsibilities

• Provide high-level administrative support to the General Manager Construction Engineering and Queensland Engineering team.
• Manage calendars, meetings, travel arrangements and day-to-day coordination.
• Coordinate internal and external meetings, events, stakeholders, vendors and technical partners.
• Prepare correspondence, presentations, reports and other business documentation.
• Manage SharePoint, document control, records, expenses, invoices and purchase orders.
• Support team systems, governance and continuous improvement while maintaining confidentiality.

Due to the current encumbent going on parental leave we are looking for a a Team Assistant to join the team based out of the Brisbane office on an initial 12 month contract.

We intend for this role to be part-time only, 3-4 days per week, with Monday or Fridays as potential off day/s, the team can be flexible ad hoc, regular office attendance is required due to the nature of the role

With the support of the Executive Assistant to the Chief Engineer, you would provide administrative support to the General Manager Construction Engineering and the Construction Engineering stream, which may include organising the day-to-day activities, inclusive of diary management/scheduling, communications, reporting, records management, procurement, accounts/invoices, travelling & logistics and purchasing.

Assistance may also be required on ad hoc tasks from the EA.
