Job summary

Macquarie University College EMI Centre in Sydney is seeking an enthusiastic administration assistant to support group programs, recruitment, client liaison and delivery. Reporting to the Business Development Manager, you will coordinate logistics for visiting students, educators and stakeholders from arrival through departure, ensuring a seamless experience.

You will have strong written and verbal communication, attention to detail, and the ability to work with diverse backgrounds.

Qualifications

  • Completion of Year 12 (HSC or equivalent), and relevant experience.
  • Experience in administration and providing customer service, ideally in an international education or student facing environment.
  • Strong written and verbal communication skills, with the ability to liaise confidently with diverse stakeholders.
  • Good organisational and time management skills, with the ability to manage competing priorities in a fast-paced environment.
  • Ability to build rapport with, and provide a high standard of service to students, agents and other stakeholders.
  • Experience supporting the coordination of events, group programs or visiting delegations is desirable.
  • Work hours may vary from time to time to accommodate business needs.

Responsibilities

  • Provide accurate and up to date information to students, agents, and other stakeholders under the direction of the Business Development Manager.
  • Support the coordination and on-the-ground delivery of group programs in Sydney, including campus tours, activities, and on- or off-campus visits.
  • Assist with the arrival and departure logistics of study tour and EMI teacher groups, helping create a smooth and memorable experience.
  • Triage email, phone and in-person enquiries, referring them to the appropriate staff member or team.
  • Provide an efficient, friendly and timely service to students, agents and other stakeholders with a strong focus on customer service.
  • Communicate effectively with stakeholders from diverse backgrounds, including where English is not their first language.
  • Enter and collate information accurately in systems and local databases to support reporting and project tracking.
  • Assist in updating collateral and website content in line with brand and promotional guidelines.
  • Provide general administrative support to the Business Development Manager as required.
  • Build effective relationships and liaise with the wider College team.
  • Comply with relevant EEO and WHS regulations.

The Role

The Macquarie University College EMI Centre has a range of courses and programs that require administrative and customer service support in promoting, recruiting, client liaison, and operational delivery. Reporting to the Business Development Manager, you will play a key support role in the coordination and delivery of group programs in Sydney, helping ensure visiting students, educators and stakeholders have a seamless, positive experience from arrival through to departure. You will work closely with the Business Development Manager to coordinate logistics, maintain accurate records, ensuring content and information is accurate, and act as a reliable and friendly first point of contact to visiting groups.

There is an expectation that staff will be on campus most workdays.

About You

You will be an enthusiastic and detail-oriented individual looking to develop your skills and experience in international business and project coordination. You will have strong written and verbal communication skills, along with excellent interpersonal skills, enabling you to work collaboratively with teams across the University and with international stakeholders from diverse backgrounds. You will be capable of establishing effective working relationships with others, including international clients, and will bring excellent time management, accuracy, and attention to detail to a busy and varied role.

About Us

Macquarie University College provides local and international students with alternative pathway programs to undergraduate and postgraduate degrees through our accelerated face-to-face learning model. The College delivers Foundation, Intensive, Diplomas, UniReady and Masters Qualifying programs, English language programs, and operates the Pearson Testing Centre on campus. The EMI centre sits within the College. This is an exciting opportunity to join a dynamic team committed to supporting student success.
