Job summary

Tokyo Headspa is seeking a Spa Coordinator to be the warm, welcoming face at our flagship Armadale location. The ideal candidate has reception experience in a beauty, spa, or wellness setting, and brings professionalism, personality, and 5‑star service.

This part‑time role supports the Spa Manager two days a week (Sunday and Monday). Weekend penalties apply on Sunday. You will greet guests, maintain a serene, polished space, offer refreshments, manage payments, and assist with stock and rosters.

Qualifications

• Minimum 2 years in a customer-facing reception role (salon/spa/wellness).
• Experience rostering or strong attention to detail with willingness to learn.
• Impeccable grooming and presentation.
• Calm, organized multitasker with exceptional customer service.

Responsibilities

• Greet guests warmly and guide them through their visit.
• Maintain the serene and polished presentation of the space.
• Offer refreshments and ensure every touchpoint feels premium.
• Manage payments and recommend products aligned with treatments.
• Assist with stock management and product ordering.
• Roster management – create and manage the Therapist team roster.

About the Role

As our Spa Coordinator, you’ll be the warm, welcoming face of Tokyo Headspa. Your role is essential in setting the tone for an exceptional guest experience. We're looking for someone with a background in reception within a beauty, spa, or wellness setting—who brings both professionalism, personality and 5 star service.

Hours

This is a part time role that will suport our Spa Manager and the team 2 days a week on a Sunday and Monday.

Weekend penalty rates apply on Sunday.

Your Day-to-Day:

• Greet guests warmly and guide them through their visit
• Maintain the serene and polished presentation of the space
• Offer refreshments and ensure every touchpoint feels premium
• Manage payments and recommend products aligned with treatments
• Assist with stock management and product ordering
• Roster management - create and manage the Therapist team roster

What We're Looking For

• Minimum 2 years' experience in a customer-facing reception role, ideally in a salon, spa, or wellness environment
• Experience managing a roster or a good attention to detail with willingness to learn
• Impeccable grooming and presentation
• A calm, organised multitasker with incredible attention to detail
• Strong customer service instincts and a genuine passion for wellness
• Availability for occasional evenings or weekends
• Experience with Zenoti is a bonus (but not essential)
