Job summary

John Holland Pty Ltd is seeking an experienced administrative professional to support the Sydney Metro West project team. This role involves clerical tasks, invoice processing, and coordinating with subcontractors and suppliers to keep project operations running smoothly.

You will maintain registers, assist with month-end processes, and help with reporting and meetings. The successful candidate will demonstrate strong communication, detail orientation, and the ability to handle multiple tasks

Qualifications

• Minimum of 3 years’ experience in a similar administrative role.
• Advanced MS Office skills (Word, Excel, PowerPoint, Outlook).
• Excellent oral and written communications skills.
• High degree of accuracy in typing, spelling, and grammar.

The Project:

Sydney Metro West is a transformational 24 km underground railway connecting Sydney CBD to Parramatta, with stations at Westmead, Parramatta, Sydney Olympic Park, North Strathfield, Burwood North, Five Dock, The Bays, Pyrmont and Hunter Street.

The Linewide package connects the entire system, delivering the critical rail infrastructure and technology that bring the metro network to life.

Project offices are located across several Sydney locations including the CBD, Clyde, Rosehill, The Bays and Burwood North.

The Role:

The role will incorporate a variety of responsibilities, including:

• Provide clerical and administrative assistance to the project team including flow of correspondence into and out of the office
• Reconciling and processing invoices
• Dealing with subcontractors and suppliers
• Maintaining various registers and spreadsheets
• Assisting in the month-end process
• Coordinate site meetings, calendars, events, site tours/visits, documenting meeting minutes and other duties related to project management
• Meet/greet and help clients and visitors in a professional manner, including telephone and email enquiries
• Assist with preparing, formatting and collating reports and presentations
• Order and re-stock office stationery, supplies and catering
• Manage meeting room bookings, room set up, attendance, catering, equipment
• Provide an efficient and professional administrative service to enable the smooth running of the project

What We Are Looking For:

• Proficient use of Microsoft Office – Word (Advanced), Excel (Advanced), Power Point (Advanced), Outlook (Advance
• Excellent oral and written communications skills
• High degree of accuracy in typing, spelling, and grammar
