Job summary

John Holland is seeking an experienced Contracts Administrator to join our Commercial team on the Sydney Metro West Linewide Project. The role involves delivering high-value subcontract packages, supporting procurement strategies and contract negotiations.

The position will be based at Darling Park and later move to Clyde/Rosehill sites in 2026, contributing to the Clyde/SFM and RSF facilities work. You will work with internal and external stakeholders to ensure commercial outcomes, manage risk,

Qualifications

• Post graduate qualifications in Quantity Surveying or related disciplines.
• Proven experience as a Contracts Administrator or Quantity Surveyor in construction/engineering.
• End to end procurement experience.
• Experience with subcontract management across all stages.

Responsibilities

• Manage high value, complex subcontract packages through all phases including procurement, scope prep, tender analysis and contract negotiations.
• Participate in scope planning with engineering to minimise gaps and maximise cost efficiencies.
• Assist in procurement strategies, identify subcontractors and performTender analysis on returns.
• Manage subcontracts through all phases: procurement, cost forecasting, claims/variations, completion and close out.
• Maintain relationships with local subcontractors and monitor market conditions.
• Assess commercial/contractual risks and escalate issues to senior staff.
• Ensure compliance with Building Code and report potential non-compliances.
• Prepare periodic commercial performance reports.

The Project:

Sydney Metro West is a transformational 24 km underground railway connecting Sydney CBD to Parramatta, with stations at Westmead, Parramatta, Sydney Olympic Park, North Strathfield, Burwood North, Five Dock, The Bays, Pyrmont and Hunter Street.

The Linewide package connects the entire system, delivering the critical rail infrastructure and technology that bring the metro network to life.

The Role:

John Holland are looking for an exeprienced Contracts Administrator to join our growing Commercial team on the Sydney Metro West Linewide Project.

The role will be part of the site project team delivering the various buildings, facilities and infrastructure at the Clyde Stabling & Maintenance Facility (SMF) and the Rosehill Services Facility (RSF).

The role will be based at our offices at Darling Park however will move to site out at the stabling yard at Clyde/Rosehill in the latter part of 2026.

Key Responsibilities:

TheContracts Administrator will be expected to work effectively with internal and external stakeholders to deliver project commercial outcomes.

• You will effectively manage high value and complex subcontract packages allocated to you through all phases, including procurement, scope preparation, tender pack review, tender analysis, subcontractor selection and contract negotiations. Subcontractor management, claims/variations, review and processing, notice writing and contract completion.
• You will be expected to participate in scope of works planning with the engineering team, ensuring that scope gaps are minimised, cost efficiencies are maximised and subcontractor capabilities are considered.
• As part of the role you will participate and assistin procurement strategies, including breakdown into individual works packages, identification of potential subcontractors, procurement, methods, timing and comprehensive tender analysis on the returned tenders
• You will be required to effectively manage subcontracts through all phases, including scope preparation, procurement, cost forecasting, subcontractor management, claims/variations processing, completion and close out..
• You will maintain contact and good working relationships with our local subcontractors and a maintain good awareness of market conditions and movements.
• You will be required to assess commercial and contractual risks, identify and implement appropriate controls and elevate actual or potential issues to Senior Contracts Administrator/Commercial Manager and/or Project Manager.
• You will be expected to operate and maintain commercial and contract systems and ensure compliance with Building Code at all times and report any potential non-compliances.
• The role requires assisting with preparing reports on commercial performance periodically and on an ad hoc basis as required.

What We Are Looking For:

• Post graduate qualifications e.g. graduate certificate, graduate diploma in Quantity Surveying, Commerce, Accounting, Business, Construction, Property, Law or other associated disciplines.
• Proven experience as aContracts Administrator or Quantity Surveyor in the construction and engineering industry.
• End to end procurement experience.
• Demonstrated experience in all stages of subcontract management, including scope preparation, procurement, cost forecasting, subcontractor management, claims/variations management, completion and close out.
• Experience with a variety of project values and complexity, including large, technically complex works packages.
• Strong commercial acumen and awareness in areas of cost management and contract law.
• Knowledge and understanding of industry market conditions and movements.
• Demonstrated ability to manage commercial negotiations.
• Awareness and compliance with document control and records management procedures.
