Job summary

Airmaster is seeking a Permanent Full-Time Service Coordinator to join the Defence team, coordinating day-to-day service activities, supporting technicians, and handling customer communications from initial request through to completion.

The ideal candidate will have at least 2 years of administration or service scheduling experience, strong communication skills, and a detail-focused, proactive mindset to operate in a fast-paced environment.

Qualifications

  • The ideal candidate will have at least 2 years’ experience in administration or service scheduling.
  • Strong communication skills, both written and verbal, with an emphasis on customer service.
  • Ability to work autonomously and in a team while maintaining high attention to detail.

Responsibilities

  • Monitor and manage service requests through Airmaster’s systems.
  • Coordinate Service Technicians, field staff and subcontractors to support timely delivery of works.
  • Manage the Defence inbox and incoming phone enquiries.
  • Process job close-outs, service documentation, invoicing and data entry.
  • Identify and escalate defects or issues arising from service works.
  • Coordinate subcontractor attendance and ensure service reports and documentation are completed.
  • Liaise with customers, technicians and subcontractors to ensure smooth delivery of works in progress.
  • Maintain accurate records and ensure Defence contract administration requirements are met.

The Role

Are you an experienced Administrator or Coordinator who thrives in a fast-paced environment and enjoys keeping operations running smoothly?

We are seeking a Permanent Full-Time Service Coordinator to join our Defence team and support the successful delivery of Airmaster’s Defence contract.

In this role, you’ll play an important part in coordinating day-to-day service activities, supporting our Service Technicians and field teams, managing customer communications, and ensuring jobs are accurately administered from initial request through to completion.

Key responsibilities include:
  • Monitor and manage service requests through Airmaster’s systems.
  • Coordinate Service Technicians, field staff and subcontractors to support timely delivery of works.
  • Manage the Defence inbox and incoming phone enquiries.

The ideal candidate will have at least 2 years’ experience working within administration or service/scheduling, and possess the following skills:

  • Experience in Service Industry and tasked with dispatching field staff (ideal)
  • Experience working with Defence services (ideal)
  • Intermediate computer skills and a basic understanding of accounting functions
  • Strong communication skills, both written and verbal, with pleasant phone manner
  • Outstanding eye for detail, organised and able to meet deadlines
  • Excellent problem-solving skills and initiative
  • Ability to maintain harmonious working relationships with colleagues and customers
  • High attention to detail, with the ability to work autonomously and in a team environment
  • Intermediate computer skills and typing skills (Word, Excel, Outlook)
  • Maintain a professional image and possess good interpersonal skills
