Job summary

Profectus is seeking an experienced Senior Project Officer to support project and program delivery within an Australian Government agency. The role sits in a Project/Program Office and provides coordination, governance, secretariat and administrative support to Project Managers and stakeholders across multiple workstreams.

The work covers governance support, schedule and risk tracking, quality management and stakeholder reporting. Brisbane or Canberra onsite.

Qualifications

• Experience providing administrative and governance support to project boards and assurance activities.
• Experience using project management tools for planning, scheduling, tracking, reporting and document management.
• Experience applying quality management processes and controls.
• Project coordination experience in a complex project or program, preferably within Defence.
• Experience preparing reports, briefs and governance documentation for stakeholders.
• Ability to manage competing priorities with sound judgement.
• Strong knowledge of Microsoft 365.
• Certificate or Diploma in Project Management or related field.
• PRINCE2 or similar certification.
• Experience in Defence or national security project offices.
• Experience with electronic document and records management systems.
• Experience with scheduling tools such as Microsoft Project.
• Exposure to benefits realisation and change management activities.

Responsibilities

• Coordinate and support planning, implementation and delivery of project activities across multiple workstreams.
• Provide secretariat support to project boards and governance forums, including agendas, papers, minutes and action registers.
• Maintain project schedules, milestones, risks, issues, dependencies and decision logs.
• Prepare status reports, dashboards, briefs and presentation materials for stakeholders.
• Track deliverables and progress against timelines and objectives.
• Apply and maintain quality management processes and distribute quality documentation.
• Support project assurance activities and quality review meetings.
• Support financial administration including budget tracking and procurement coordination.
• Manage project documentation and records per departmental information management requirements.
• Liaise with internal and external stakeholders to coordinate activities and keep them informed.
• Assist with change management, benefits realisation and continuous improvement of project processes and reporting.
