Lead our flagship Kent St clinic

We are looking for an experienced Senior Clinic Coordinator to lead the day-to-day operation of our busy Kent Street flagship clinic, with the benefit of a 9-day fortnight.

Reporting to the Patient Services Manager, you will provide day-to-day leadership and support to the Patient Services Coordinators, helping to ensure the clinic operates efficiently, professionally and with a strong focus on patient experience.

This is a varied and hands‑on role where you will be a key point of contact for the team and clinic. You will help resolve day‑to‑day issues, support staff, maintain clinic standards and work closely with the Patient Services Manager and other stakeholders to keep the clinic running smoothly.

Your key responsibilities would include:

  • Providing day‑to‑day guidance, support and feedback to Patient Services Coordinators
  • Resolve routine clinic, patient and stakeholder issues, supporting the team with difficult situations and escalating more significant or recurring matters to the Patient Services Manager
  • Review and approve staff timesheets, monitor attendance and punctuality, and ensure unexpected absences and sick leave are communicated promptly to the Patient Services Manager
  • Monitor appointment-book gaps and cancellations, coordinating with clinical and administrative teams, Bookings Team Leader and Patient Services Manager to optimise clinic capacity and support efficient patient flow
  • Ensure the clinic is organised, professional and operating to agreed standards, including oversight of stock, ordering, invoices and clinic facilities
  • Maintain strong working relationships with doctors, clinical teams, patients and referrers
  • Support compliance with Medicare and billing requirements, referrals, patient identification, privacy, training, SOPs and WHS processes
  • Help maintain a consistently high standard of patient experience across the Kent St clinic
  • Identify recurring operational issues and opportunities to improve clinic processes and service delivery
About you

You will be an experienced healthcare professional who enjoys being the person others can rely on to help keep a busy clinic running smoothly.

Ideally you will bring:

  • Minimum 5 years' experience in medical/healthcare practice management or senior clinic leadership, with demonstrated experience supporting people and day‑to‑day clinic operations (required)
  • Demonstrable track record of leading others within a busy medical practice or healthcare environment, with the ability to build rapport across diverse groups
  • Confidence providing guidance and feedback to team members
  • Strong communication and interpersonal skills, with high emotional intelligence
  • The ability to manage challenging situations calmly and professionally
  • Sound judgement and the ability to know when to resolve an issue yourself and when to elevate
  • Excellent organisation, attention to detail and follow-through
  • Strong knowledge of Medicare, billing and healthcare administration
  • A willingness to embrace the Monash IVF Group Principles
Why work with us?

At SUFW, you'll join a passionate team delivering specialist care in one of Sydney's leading women's health practices. You'll work alongside specialised doctors, sonographers and healthcare professionals in our flagship Kent St clinic.

  • Be part of Monash IVF Group, a leading organisation in reproductive health, with opportunities to grow your career across the broader organisation
