ONF Surveyors is seeking an organised, reliable and proactive Senior Administration Coordinator to join our Sunshine Coast office.
This position is the central administration role within the business and will support our Directors, project teams, clients, and administration functions across multiple office locations.
As the first point of contact for many of our clients, you'll play a critical role in ensuring our office operates smoothly and efficiently each day. This includes answering incoming calls, managing enquiries, setting up projects, coordinating administration processes and supporting our broader team.

This is a hands-on administration position that forms the backbone of our day-to-day operations.
You will be responsible for ensuring incoming enquiries are handled professionally, projects are established correctly within our systems, documentation is maintained, and project teams receive the administrative support they require.
The successful candidate will be someone who enjoys being organised, takes pride in accuracy and understands the importance of delivering excellent service to both clients and colleagues.
Act as the first point of contact for incoming phone calls and enquiries.
Professionally manage client enquiries and direct matters to the appropriate team members.
Maintain a positive and professional first impression of ONF Surveyors.
Monitor and respond to general administration email enquiries.
Enter new project information into company management systems.
Establish and maintain project records and documentation.
Ensure project details are accurate and complete.
Assist project managers with project administration requirements.
Maintain electronic filing and document management systems.
Coordinate day-to-day office administration activities.
Support Directors and managers with administrative tasks.
Assist with preparation of reports, correspondence and project documentation.
Coordinate incoming and outgoing mail and office communications.
Assist with onboarding and administration setup for new employees.
Maintain company templates, procedures and administrative records.
Assist with invoicing and accounts administration.
Support project teams with timesheets, project information and administrative requirements.
Assist with data entry and business system management.
Identify opportunities to improve administrative processes and efficiency.
Provide support to administration team members across multiple offices.
Assist with training and mentoring administrative staff when required.
Work collaboratively with project teams to ensure consistent administration practices.

You will ideally have:
Previous experience in an administration, office coordination or office management role.
Strong customer service and telephone communication skills.
Excellent attention to detail and data entry accuracy.
Experience entering and managing information within business software systems.
Strong organisational and time management skills.
Ability to manage multiple priorities and deadlines.
Sound Microsoft Office skills.
A proactive and solutions-focused approach.
Confidence working with a range of staff, clients and stakeholders.
Experience within surveying, engineering, construction, planning, consulting or professional services businesses will be highly regarded but is not essential.
