Job summary

Viva Leisure Sydney HQ is seeking a friendly Reception & Administration Officer to be the face of the Beaconsfield office. You will welcome visitors, coordinate front‑of‑house tasks, manage calls and assist senior leaders, ensuring a smooth daily operation.

Qualifications

• Current First Aid and CPR certification (or willingness to obtain)
• Fire Warden training (or willingness to undertake training provided)

Responsibilities

• Welcoming visitors, clients and staff, and keeping reception looking sharp and running smoothly
• Managing incoming calls and emails, and directing them to the right people
• Coordinating meeting room bookings, setting up rooms and providing refreshments
• Receiving deliveries and coordinating outgoing post
• Keeping the kitchen and office stocked with supplies, stationery and meals for the team
• Coordinating cleaning schedules to keep shared spaces tidy and hygienic
• Organising office events like morning teas, lunches and celebrations
• Liaising with external suppliers and contractors, including cleaning and waste services
• Providing administration and travel coordination support to executive leadership
• Assisting with member enquiries during busy periods
• Acting as First Aid Officer and Fire Warden, with training provided if needed

WHAT YOU'LL BE DOING

• Welcoming visitors, clients and staff, and keeping reception looking sharp and running smoothly
• Managing incoming calls and emails, and directing them to the right people
• Coordinating meeting room bookings, setting up rooms and looking after visitors with tea, coffee and cold drinks
• Receiving deliveries and coordinating outgoing post
• Keeping the kitchen and office well stocked with supplies, provisions, stationery and team meal orders
• Coordinating cleaning schedules so shared spaces stay tidy and hygienic
• Organising office events like morning teas, lunches and team celebrations
• Liaising with external suppliers and contractors, including cleaning, waste and recycling, hygiene services, post and plant care
• Providing administration and travel coordination support to executive and senior leadership
• Helping out with member enquiries and calls during busy periods
• Acting as the office First Aid Officer and Fire Warden, with training provided if you don't already hold it, and reporting any WHS risks or hazards

WHAT WE ARE LOOKING FOR

Qualifications & Certifications

• Current First Aid and CPR certification (or willingness to obtain)
• Fire Warden training (or willingness to undertake training provided)

Skills & Experience

• Prior experience in a reception, office administration, or front‑of‑house coordination role
• Strong verbal and written communication skills, with a professional and customer‑focused manner
• Excellent organisational skills and the ability to manage competing priorities
• Proficiency in Microsoft Office (Outlook, Word, Excel) and general office systems
• Confidence liaising with external suppliers, contractors, and vendorS
• Sound understanding of workplace health and safety principles
