Job summary

ACCIONA is seeking a Project Systems Administrator in Melbourne to support cost capture, productivity data, and procurement workflows on the M80 Ring Road Completion project. You will coordinate with subcontractors and staff, manage LinkedSite/Vendor Portal, and help produce project cost reports to enable informed decision-making.

We value 3+ years of construction experience, strong Excel/Word skills, and the ability to learn fast in a dynamic environment.

Qualifications

• Advanced written & verbal communication with outstanding attention to detail.
• Construction experience preferred (3+ years).
• Proficient with MS Excel, MS Word, and email.
• Ability to learn new technology quickly in a fast-moving environment.

Responsibilities

• Maintain proactive communications with subcontractors, suppliers and project staff to capture costs accurately.
• Manage a portfolio of subcontractors using LinkedSite and ensure timely processing in line with contracts.
• Highlight variations to executed contracts with the Contracts Administrator and adjust rates accordingly.
• Support development of initiatives to enhance the working experience for the Alliance.
• Provide guidance to subcontractors for LinkedSite and Vendor Portal onboarding.
• Daily administration of LinkedSite including mobilisation/demobilisation, password resets and item group setup.
• Daily administration of LinkedVendor including supplier setup and rate changes.
• Assist in producing daily/weekly/monthly cost reports, accruals and docket status for the business.
• Coach new project users to prevent single points of failure in related systems.

The project will deliver a major upgrade of the M80 Ring Road between the M80-Plenty Road interchange and the North East Link tunnel entrance at Watsonia, providing a seamless connection to North East Link. Works includes the construction of 14 kilometres of new lanes, bulk earthworks, retaining walls, bridge structures, rail interface works, intelligent transport systems, urban design and landscaping. This diverse and challenging project will be complete in 2028. **Position Summary** Acciona have in place several systems to capture costs, quantity and performance information in real time at the lowest level to enable informed conversations around production, productivity, geospatial monitoring, chain of responsibility compliance, sustainability, safety, procurement management, event management, cost and revenue forecasting and planning and scheduling. The Project Systems Administrator will contribute to the achievement of the project, by providing administration, guidance, training and support, to effectively capture daily quantity, cost and productivity data to improve decision making. **Key accountabilities for the position*** Maintain open and proactive communications with both subcontractors, suppliers and project staff to ensure a highly efficient and accurate capturing of costs for works performed on the project sites.* Manage a small portfolio of subcontractors using Linked Site, ensuring that processing is completed in a timely manner and ensuring compliance with Security of Payment Act where applicable* Highlighting variations to executed contracts with the relevant Contracts Administrator, ensuring rates are adjusted accordingly and in a timely manner* Support the development and implementation of positive initiatives to enhance the working experience for the Alliance* Provide ongoing guidance to subcontractors for the implementation and use of LinkedSite through the Vendor Portal* Daily administration of LinkedSite including mobilisation & demobilisation of staff & JV Staff, password resets and ensuring item groups have been set up correctly* Daily administration of Linked Vendor including supplier setup, rates changes* Assist in the production and delivery of Reporting; daily, weekly and monthly, to provide the business with project cost data, accruals and docket status.* Assist in providing coaching and support of new project users and team members to ensure no single point of failure in any related system process or workflow.**Required Skills and Competencies*** Advanced written & verbal communication skills with outstanding attention to detail* Construction experience preferred but will consider other industries - 3+ years experience* Proficient skills in the following software: MS Excel, MS Word, email.* Ability to learn new technology and software quickly & thrive in a fast moving environment**What we offer**At ACCIONA, we offer a dynamic and challenging work environment where our employees can grow and develop their careers.
