Job summary

Heritage Stone is seeking a Project Operations Coordinator to join our Brisbane-based team. This role coordinates projects from order confirmation through completion, acting as the communication hub among customers, builders, cabinet makers, suppliers, factory staff, site measurers and installation teams.

You will ensure smooth project progress, efficient production and excellent customer experience, with duties spanning documentation, workflow, site measurements and warranty coordination.

About the Role

This position is responsible for coordinating projects from the time an order is confirmed until the project has been successfully completed.

You will become the communication hub between customers, builders, cabinet makers, suppliers, factory staff, site measurers and installation teams.

Your goal is to ensure every project progresses smoothly, efficiently and professionally while delivering an outstanding customer experience.

Key Responsibilities

Project Coordination

• Manage projects from order confirmation through final completion
• Coordinate customer communication throughout the project
• Schedule site measurements
• Coordinate production and installation schedules
• Monitor project progress and milestones
• Maintain accurate project records

Production Coordination

• Coordinate daily production priorities with the factory
• Monitor manufacturing progress
• Ensure approved drawings and information are released to production
• Coordinate installation teams
• Confirm site readiness
• Assist installers with project information
• Coordinate return visits where required

Customer Service

• Maintain regular communication with customers
• Provide project updates
• Resolve customer enquiries professionally
• Deliver excellent customer service throughout every project

Documentation & Workflow

• Update internal project management systems
• Coordinate drawings and customer approvals
• Prepare weekly workflow reports
• Track project status from start to finish

Defects & Warranty

• Arrange repairs and remakes
• Schedule warranty work
• Coordinate return visits
• Ensure all issues are resolved professionally
