We are seeking an experienced, motivated and highly organised Project Coordinator to join our growing civil construction team.
This is a hands-on role providing end-to-end support across project delivery, with a strong focus on Contracts Administration, Health, Safety & Environment (HSE), procurement, compliance and project administration.
Working closely with the Project Manager and site team, you will play an important role in keeping project documentation, commercial processes, compliance requirements and day-to-day project activities organised and on track.

Key Responsibilities
Contracts Administration
- Assist with the preparation, review and administration of subcontractor agreements and purchase orders.
- Track and process subcontractor progress claims, variations and payment schedules.
- Maintain project commercial registers and supporting documentation.
- Assist with procurement of materials, plant and subcontractor services.
- Liaise with suppliers and subcontractors regarding pricing, documentation, delivery requirements and project needs.
- Assist with cost tracking, forecasting and project reporting.
- Ensure commercial documentation is accurately filed and maintained throughout the project lifecycle.
Health, Safety & Environment
- Assist with maintaining compliance with company, client and legislative HSE requirements.
- Prepare, maintain and distribute project safety and environmental documentation.
- Assist with SWMS, toolbox talks, inspections, audits and incident documentation.
- Coordinate worker, subcontractor and plant onboarding and inductions.
- Monitor licences, competencies, training and site compliance requirements.
- Maintain HSE registers, records and reporting.
- Work closely with site personnel to ensure project compliance requirements are maintained.
Project Coordination & Administration
- Provide day-to-day support to the Project Manager, supervisors and wider site team.
- Maintain project schedules, action registers, correspondence and document control.
- Prepare meeting agendas, minutes and follow up outstanding actions.
- Assist with preparation of monthly reports, project updates and client documentation.
- Coordinate project records, timesheets, dockets and supporting documentation.
- Liaise with clients, subcontractors, suppliers and other project stakeholders.
- Assist with general project mobilisation, site establishment and close-out requirements.
Team Support
- Provide guidance and support to the Junior Contracts Administrator.
- Assist with workload coordination and project administration priorities.
- Promote a positive, organised and collaborative working environment.
About You
- Previous experience as a Project Coordinator, Contracts Administrator or Project Administrator, preferably within civil construction.
- A sound understanding of construction contracts, procurement and project administration processes.
- Demonstrated knowledge of HSE and compliance requirements within the construction industry.
- Strong organisational and time-management skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and a high level of accuracy.
- Strong document control and record-keeping skills.
- Confidence communicating with clients, subcontractors, suppliers and site personnel.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel, Word and Outlook.
- Experience with construction/project management systems.
- Experience using Lucidity will be highly regarded.
- A proactive attitude with the ability to work independently and as part of a project team.
