Job summary

AIA Australia is seeking a Project Coordinator to support Technology BAU activities, delivery governance and reporting. The role handles financial tracking, resourcing and Procure to Pay processes for timely vendor payments.

Based in Melbourne with a hybrid work model, you will oversee project systems, onboarding, access management and continuous improvement across tools like Jira and Confluence, collaborating with technology, finance and vendor groups.

Qualifications

  • Previous experience in a project coordinator role across multiple vendors or programs.
  • Strong understanding of project finances, accruals and governance reporting.
  • Financial, analytical and organisational skills for accurate reporting and forecasting.
  • Proficiency with project support tools and systems; ability to learn new technologies quickly.
  • Ability to prioritise tasks and manage competing deadlines with stakeholders across technology, finance and vendors.

Responsibilities

  • Coordinate end-to-end project support activities, including reporting, governance packs and data tracking.
  • Manage financial administration and Procure to Pay processes to ensure accurate spend tracking and timely payments.
  • Administer project systems and tools (Timesheets, financial trackers, Jira/Confluence) and user access.
  • Drive continuous improvement by evaluating tools and processes and resolving issues promptly.
  • Build strong relationships with internal and external stakeholders to ensure smooth delivery and alignment.

The Opportunity:

The Project Coordinator supports and coordinates Technology BAU activities and project governance reporting and committees. The role manages financial tracking, resourcing, and system user administration for delivery support tools. It is also responsible for overseeing Procure to Pay processes for Technology and Projects to ensure accurate and timely payments and reporting.

This role is based in our Melbourne Office, and a hybrid work model is on offer.

To do this successfully you will:
  • Coordinate end-to-end project support activities, including reporting, governance packs, data tracking and workforce planning updates.
  • Manage financial administration and Procure to Pay processes to ensure accurate spend tracking, forecasting, reconciliation and timely vendor payments.
  • Administer project systems and tools, including user onboarding/offboarding, access management and support across timesheets, financial trackers and Jira or Confluence.
  • Drive continuous improvement by evaluating tools and processes, and proactively resolving or escalating issues in a timely manner.
  • Build strong working relationships with internal and external stakeholders to ensure smooth delivery, communication and alignment.

  • Confidence working with project support tools and systems, including ability to learn new technologies quickly and apply them effectively.
  • The ability to prioritise tasks and manage competing deadlines in line with project and financial requirements.
  • Clear communication and collaboration skills to work effectively with a wide range of stakeholders across technology, finance and vendor groups.
  • A proactive approach to identifying issues, improving processes and ensuring high-quality administration and governance outcomes.
