Job summary

Sumi Windows Pty Ltd in Sefton NSW is seeking a reliable permanent full-time administrator to support the director and operations team. You will manage window and door projects from order confirmation through installation and handover, keeping schedules and registers up to date.

Responsibilities include coordinating between the factory, installation crews, suppliers and clients, maintaining project documents, and producing weekly progress and cost reports.

Qualifications

• Formal qualifications are not essential. On-the-job training will be provided.
• Minimum 1 year of experience in project administration or project coordination.
• Demonstrated ability to apply project management methodology and tools, including schedules, Gantt charts and risk registers.
• Experience with construction or manufacturing project documentation and shop drawings.
• Strong Microsoft Excel skills and high attention to detail.
• Excellent communication skills and the ability to manage competing deadlines.

Responsibilities

• Plan and administer aluminium window and door projects from order confirmation through manufacture, delivery and installation.
• Prepare and maintain project schedules and Gantt charts, and monitor progress against milestones.
• Maintain project risk, issue and action registers, and escalate delays to the Operations Manager.
• Prepare, review and negotiate project variations, including changes to sizes, finishes, glazing and delivery sequence.
• Collect and analyse project data, including timesheets, production output, material usage and costs.
• Prepare weekly project progress, cost and performance reports for management.
• Maintain project documentation registers, including shop drawings and AS 2047 compliance certificates.
• Raise and track purchase orders for aluminium, glass and hardware against the project program.
• Coordinate scheduling between the factory, installation teams, suppliers, builders, architects and clients.
• Coordinate installation mobilisation, including site inductions, licences, site access and delivery logistics.
• Maintain Work Health and Safety, equipment and inspection registers for factory and site activities.
• Compile project close-out packs, including as-built records, warranties and compliance certificates.
