Job summary

Your new company Hays is partnering with an Australian infrastructure organisation to deliver and maintain critical energy assets. This role focuses on project administration for engineering projects, including travel, procurement, site inductions and documentation, with a 56-hour roster (14 days on / 7 off) in the Western Downs region.

You will bring 3+ years of project admin experience, strong MS Office and SharePoint skills, and the ability to work autonomously to deadlines in a high-volume,

Qualifications

  • 3+ years’ experience in a similar project administration role.
  • Experience supporting the development and execution of engineering projects.
  • Experience supporting engineering and project management teams.
  • Strong interpersonal and written communication skills.
  • High proficiency with MS Word, Excel and PowerPoint.
  • Experience working in the Microsoft SharePoint environment.
  • Strong attention to detail.
  • Ability to work autonomously and prioritise workload.
  • Ability to meet targets and deadlines.

Responsibilities

  • Make travel and accommodation bookings in accordance with Travel Policy and processes.
  • Work with Procurement and Purchasing functions to engage contractors and purchase materials and equipment, including purchase requisitions.
  • Process expense claims.
  • Order and collect IT equipment for starters and leavers.
  • Order, allocate and monitor project team equipment.
  • Arrange and perform site inductions.
  • Arrange and attend meetings, take and distribute minutes.
  • Assist in developing project documentation and reporting including updates and presentations.
  • Update project databases with project details, achievements and risks.
  • Follow up document workflow actions.
  • Undertake activities with a continuous improvement mindset.

Your new role
  • Make travel and accommodation bookings in accordance with Travel Policy and processes.
  • Work with Procurement and Purchasing functions to ensure timely engagement of contractors and purchase of materials and equipment, including raising of purchase requisitions.
  • Processing expense claims.
  • Ordering and collection of IT equipment for starters and leavers.
  • Ordering, allocation and monitoring of project team equipment.
  • Arranging and performing site inductions.
  • Arrange and attend meetings, taking and distributing meeting minutes as required.
  • Assist in the development of project documentation and reporting including updates and presentations.
  • Update and maintain the project databases with information on projects, including project details, achievements and risks.
  • Follow up document workflow actions.
  • Undertake all activities with a continuous improvement mindset.
What you'll need to succeed
  • 3+ years’ experience in a similar project administration
  • Demonstrated competency and experience in supporting the development and execution of engineering projects
  • Experience in supporting engineering and project management teams
  • Strong interpersonal and communication skills, both verbal and written
  • High level of proficiency with computer systems, particularly MS Word, Excel and PowerPoint
  • Experience working in the Microsoft SharePoint environment
  • Strong attention to detail
  • Ability to work autonomously and prioritise own workload
  • Ability to work under pressure and meet targets and deadlines

You will be working 14 days on / 7 off roster with a 56 hour work week. Contract from August 2026 to March 2029 paying $50/hr + Superannuation based in the Western Downs region.
