Job description

The Project Administrator will provide coordination and administrative support across multiple projects, contributing to effective governance, reporting, document control and project delivery processes.

Australian Naval Infrastructure Pty Ltd (ANI) is the owner, developer and manager of the Osborne Naval Shipyards, supporting the Commonwealth’s Naval Shipbuilding Plan. ANI is responsible designing, constructing and managing the shipyard infrastructure, including the new Nuclear-Powered Submarine Construction Yard to support the AUKUS program, and operating and maintaining common use facilities.

ANI plays a pivotal role in delivering Australia’s naval shipbuilding capability, contributing to one of the nation’s most significant and complex infrastructure programs. Based in Adelaide, our work underpins the future of naval shipbuilding through world-class infrastructure at Osborne.

ANI has an opportunity for an organised and proactive Project Administrator to join its Delivery team in Adelaide. Working closely with Project Directors and Project Managers, you will provide coordination and administrative support across multiple projects, contributing to effective governance, reporting, document control and project delivery processes.

Key Responsibilities
  • Provide project coordination and administrative support across multiple projects, including meeting coordination, diary management, minute taking, correspondence and project documentation.
  • Establish and maintain project registers, including document, RFI, action and risk registers, to support effective project governance and controls.
  • Coordinate governance and reporting activities, including project status reports, schedule updates, risk summaries, action trackers and executive briefing materials.
  • Support design reviews and technical submissions, including document distribution, stakeholder reviews, comment collation and close-out tracking.
  • Assist with project delivery activities, including land access, stakeholder approvals, utility interfaces and third-party coordination for construction and commissioning works.
  • Liaise with internal and external stakeholders, consultants, contractors and utility providers to support project coordination, information flow, issue resolution and service delivery objectives.
  • Support the development and continuous improvement of project governance, safety, document control processes and work systems, while promoting a responsive and customer-focused culture.
  • Coordinate onboarding and training activities for project team members, manage project SharePoint and Teams sites, and undertake other duties aligned with the role as required.
About You:

You will be a highly organised and collaborative individual with strong administrative, communication and relationship management skills. You will be comfortable supporting multiple projects, managing competing priorities and working to deadlines. With a proactive and customer-focused approach, you will demonstrate sound judgement, attention to detail and a genuine interest in developing your career in project management.

You will also have:
  • Australian citizenship and the ability to obtain and maintain the security clearances required for a Defence-related facility.
  • Relevant qualifications in project administration, project management or a related discipline.
  • Strong organisational, administrative and problem-solving skills, with the ability to prioritise competing workloads and meet deadlines.
  • Well-developed interpersonal, written and verbal communication skills, including experience preparing reports, correspondence, meeting minutes and other project documentation.
  • Experience working within a multidisciplinary project team, preferably in an industrial, infrastructure or government environment, with the ability to build effective stakeholder relationships.
  • Proficiency in Microsoft Office applications, including PowerPoint, Word and Excel.
