Job summary

Transport For NSW seeks a Program Assistant to support early careers programs (Cadet, Scholar, VET). You will coordinate activities across the participant lifecycle, including recruitment, onboarding, rotations and program admin.

You’ll work with Program Managers and stakeholders to manage communications, maintain records, and deliver data-driven insights, ensuring milestones are met and a positive participant experience.

Qualifications

  • Experience supporting Early Careers, talent, HR, recruitment or learning programs.
  • Strong organisational and stakeholder management skills.
  • Excellent communication and reporting abilities.

Responsibilities

  • Coordinate participant lifecycle activities across recruitment, onboarding, inductions, rotations and program administration.
  • Manage participant communications, maintain program records and reporting, coordinate placement activities and milestones.
  • Contribute to continuous improvement initiatives, provide data-driven insights and deliver a high-quality participant experience.
  • Support hybrid working model; assist with cross-team collaboration and scheduling.

In this role, you'll:

  • Join a high-performing team delivering impactful Early Careers programs, including Cadet, Scholar and VET programs. You'll coordinate key program activities across the participant lifecycle, supporting recruitment, onboarding, inductions, rotations and ongoing program administration.
  • Working closely with Program Managers and stakeholders, you'll manage participant communications, maintain program records and reporting, coordinate placement activities, and ensure milestones and program requirements are met. You'll also contribute to continuous improvement initiatives, provide data-driven insights, and help deliver an outstanding participant experience across all programs.
  • Success in this role will come from your strong organisational skills, attention to detail and ability to manage competing priorities in a fast-paced environment.
  • This role operates under our hybrid working model, with team collaboration currently taking place on Mondays at Macquarie Park and Wednesdays in Sydney CBD. Occasional site visits may be required.
  • A highly organised and proactive coordinator with excellent administration and stakeholder management skills. You thrive in a fast-paced environment, can juggle multiple priorities, and take pride in delivering high-quality outcomes.
  • You're a strong communicator who builds effective relationships, takes ownership of your work, and is committed to delivering a positive experience for participants and stakeholders.
  • Experience supporting Early Careers, talent, HR, recruitment or learning programs will be highly regarded, along with experience managing communications, reporting, databases and stakeholder coordination.
