The Procurement & Sales Support Officer is a full-time, on-site role based in Toowoomba, QLD. This role provides a key link between procurement, sales, engineering, and project delivery, supporting both the sourcing of goods and services and the efficient administration of customer enquiries and quotations. From a procurement perspective, the role is responsible for managing end-to-end purchasing activities, including sourcing suppliers, obtaining and evaluating quotations, preparing and processing purchase orders, and coordinating the timely delivery of materials and services required for engineering and fabrication projects. From a sales support perspective, the role will assist with the administration and coordination of incoming customer enquiries and quotation activities.

Key responsibilities

• Source materials, components, subcontractors, and services required for engineering and fabrication projects
• Request, review, and compare supplier quotations based on price, lead time, quality, and technical requirements
• Prepare and process purchase orders and maintain accurate purchasing documentation
• Monitor outstanding purchase orders and follow up suppliers to ensure agreed delivery dates are achieved
• Assist with supplier and subcontractor negotiations relating to pricing, lead times, and commercial terms
• Work with engineering and project teams to ensure procurement activities align with project requirements and schedules
• Identify alternative suppliers and opportunities for cost savings and improved delivery performance
• Receive, register, and maintain customer enquiries within the company enquiry register
• Request and follow up supplier and subcontractor pricing required to support customer quotations
• Monitor outstanding enquiries and quotation due dates and assist with internal and customer follow-ups where required

About you

• Strong procurement and purchasing skills, with experience managing purchasing cycles and supplier relationships
• Experience in sales administration, estimating support, customer service, or quotation preparation would be highly regarded
• Proficiency in handling purchase orders and related documentation within ERP, procurement, or business management systems
• Well-developed analytical skills for comparing supplier quotations, reviewing costs, and supporting data-driven commercial decisions
• Strong numerical and commercial skills with the ability to compile and compare material, supplier, and subcontractor pricing
• Relevant experience within engineering, fabrication, industrial, manufacturing, or similar project-based environments is highly beneficial
• Strong organisational and time management skills, with excellent attention to detail and accuracy
• Ability to manage multiple enquiries, quotations, procurement activities, and deadlines simultaneously
• Effective communication and collaboration skills for working with customers, suppliers, subcontractors, engineering teams, and project personnel
• A proactive approach to following up outstanding information and driving enquiries and purchasing activities through to completion
