Hastings Deering (Australia) Ltd in Toowoomba is seeking an experienced Service Coordinator to provide critical administrative and operational support to the Commercial Engines team. The role is permanent, Monday to Friday, focusing on accurate record management and exceptional customer service.

You’ll monitor service jobs, ensure labour accuracy, handle invoicing forecasts, and contribute to continuous improvement initiatives within a Caterpillar dealership environment.

Qualifications

• Experience in the service industry and previous work in a service and warehousing oriented environment.
• Understanding of CAT and Hastings Deering products and services a plus.
• Familiar with service administration practices and workflow processes.
• Strong attention to detail and accuracy in documentation, labour records and invoicing.
• Excellent customer and stakeholder engagement with professional confidentiality.

Responsibilities

• Deliver exceptional customer service and provide high quality administrative and operational support to the Commercial Engines team.
• Monitor service jobs to ensure quality, efficiency and timely completion of work.
• Accurately process documentation in AX and maintain service records.
• Verify labour hours are correctly entered and investigate discrepancies daily.
• Oversee work in progress and invoicing; provide accurate invoicing forecasts.
• Support continuous improvement and collaboration with Field Service Foreman and Field Service Fitters to deliver quality service outcomes.

What you’ll be doing:

• Deliver exceptional customer service Provide high quality cost effective support that exceeds customer expectations and achieves strong customer outcomes.
• Monitor job performance Oversee service jobs to ensure quality efficiency and timely completion of work.
• Manage service administration Accurately process documentation in AX and maintain accurate service records.
• Ensure labour accuracy Verify labour hours are correctly entered and investigate any discrepancies on a daily basis.
• Oversee WIP and invoicing Effectively manage SIP/WIP and provide accurate invoicing forecasts.
• Support continuous improvement and collaboration Participate in Caterpillar SODA initiatives and work closely with the Field Service Foreman and Field Service Fitters to deliver quality service outcomes.

What you’ll need:

• A successful teammate will have experience in: Service industry experience Previous experience working within a service and warehousing orientated environment.
• Product knowledge Understanding of CAT and Hastings Deering products and services.
• Workflow expertise Knowledge of job workflow processes and service administration practices.
• Attention to detail Exceptional accuracy when managing documentation labour records and invoicing.
• Customer and stakeholder engagement Proven ability to build strong relationships while maintaining confidentiality and professionalism.
• Self management skills Ability to work effectively in a fast paced environment with minimal supervision while delivering exceptional customer service.
