Job summary

Hastings Deering (Australia) Ltd in Mackay QLD is seeking an organised Administrator to support day-to-day operations, including purchasing, reception, and general office tasks. This permanent, Monday to Friday role suits detail‑driven professionals who thrive in fast-paced environments.

You’ll manage purchase orders, monitor stock, assist with invoices, and provide administrative support to apprenticeship programs while upholding data accuracy and stakeholder communications.

Qualifications

  • Bring relevant administrative experience in administration or purchasing support, ideally within mining or industrial environment.
  • Maintain exceptional data accuracy across purchasing and administrative tasks.
  • Communicate effectively with stakeholders and maintain a customer‑focused approach.
  • Manage competing priorities in a fast-paced operation.

Responsibilities

  • Manage purchasing processes – raise and process purchase orders in line with business and site requirements.
  • Track purchase orders – monitor open orders and follow up on outstanding items to avoid delays.
  • Support reception and general office operations – assist with reception duties and complete administrative tasks.
  • Maintain cost control – monitor expenditure and purchasing compliance.
  • Assist in invoice accuracy – support invoice matching and resolve PO discrepancies promptly.
  • Provide administrative support – assist the purchasing function and operational leaders in day-to-day tasks.
  • Support Apprenticeship administration – assist the Apprentice Coordinator with records and documentation.

What you’ll be doing:
  • Manage purchasing processes – raise and process purchase orders in line with business and site requirements.
  • Track purchase orders – monitor open orders and proactively follow up outstanding items to avoid delays.
  • Support reception and general office operations – assist with reception duties and complete additional administrative tasks as required.
  • Maintain cost control – support financial discipline by monitoring expenditure and purchasing compliance.
  • Assist in invoice accuracy – assist with invoice matching and resolve purchase order discrepancies promptly.
  • Provide administrative support – assist the purchasing function and operational leaders with day-to-day administration.
  • Support Apprenticeship administration – assist the Apprentice Coordinator with day-to-day administrative tasks, maintain accurate records and documentation, and provide general administrative support to ensure the smooth delivery of apprenticeship and training activities.
What you’ll need:
  • Bring relevant administrative experience – demonstrate previous experience in administration or purchasing support, ideally within a mining or industrial environment.
  • Maintain exceptional attention to detail – deliver a high level of data accuracy across purchasing and administrative tasks.
  • Communicate effectively with stakeholders – apply strong communication skills and a customer‑focused approach in daily interactions.
  • Manage competing priorities – organise workloads effectively and perform well in a fast‑paced operational environment.
  • Use systems confidently – work competently with Microsoft Office and ERP systems, with purchasing system experience highly regarded.
  • Demonstrate reliability and teamwork – take a proactive, dependable approach and collaborate effectively within a team environment.
