City Fertility Newstead is seeking a Patient Services Administrator to warmly welcome patients and guide them through their fertility journey. You will be the first point of contact, handling appointments, registrations and clear communication with patients and clinicians.

The role stresses accuracy in records, billing in line with Medicare guidelines, and ongoing collaboration with teams to uphold quality patient-centred care. On-site permanent full-time position in Victoria.

Qualifications

• Minimum Year 12 qualification (or equivalent) to be eligible to work in Australia.
• At least 12 months experience in office administration or reception.
• Proficiency with Microsoft Office; ability to learn practice management software.
• Strong organisational skills, attention to detail and confidentiality.

Responsabilités

• Provide first-point-of-contact service to patients with empathy and professionalism.
• Manage appointment scheduling, registration, and patient pathway coordination.
• Prepare fee estimates and handle billing in line with Medicare guidelines.
• Handle calls and inbox management with clear, compassionate communication.
• Maintain accurate patient records and data entry with privacy compliance.
• Support daily banking, reconciliation, invoicing and debt collection processes.
• Assist with audits, accreditation reporting and compliance activities.
• Monitor reception and waiting areas to ensure a welcoming environment.
• Liaise with clinicians, suppliers and partners to support patient care.
• Contribute to policy and process improvements and change management.
• Provide support for donor and surrogacy programs and consent monitoring.
• Troubleshoot Medicare claims and liaise with agencies to resolve issues.
• Uphold workplace health and safety standards and report hazards.
• Represent City Fertility values in all interactions with patients and staff.
