Job summary

Cleanaway Waste Management Limited is seeking an organised Operations Coordinator in Australia. You will coordinate drivers and delivery schedules, manage inventory, and handle purchasing, invoicing, and site administration to ensure safe, efficient operations. Availability for early Mondays is essential.

You will liaise with drivers and internal teams, support onboarding, and maintain accurate council and back-end system data, contributing to continuous improvement and strong HSE outcomes.

Qualifications

  • Excellent written and verbal communication skills.
  • Basic bookkeeping/payroll knowledge is an advantage.
  • Strong computer skills with Excel; experience with workforce management software (e.g., UKG Kronos).
  • Proven ability to stay agile in a fast-paced environment with conflicting deadlines.
  • Experience managing inventory, stocktakes, and reconciliations; ability to raise and manage purchase orders and invoices with accuracy.
  • Safety-first mindset with a drive for continuous improvement.
  • Must be available for an early start on Mondays.

Responsibilities

  • Coordinate drivers and delivery schedules to keep operations running smoothly.
  • Manage driver payments, purchase orders, invoicing, and site administration.
  • Support driver training and onboarding.
  • Oversee inventory and stocktakes; track, report, and resolve discrepancies.
  • Handle invoicing and contract administration; raise, review, and correct invoices.
  • Provide admin and operational support to the site team and back-end systems.
  • Maintain council data and records with accuracy.

The Opportunity

We're on the lookout for a proactive and organised Operations Coordinator to join our team. This key role sits at the heart of our day-to-day branch operations, coordinating drivers and delivery schedules, managing inventory and stocktakes, and keeping purchase orders, invoicing and site administration accurate and on time. You'll be the go-to person connecting drivers, internal teams and back-end systems, helping the branch deliver safe, efficient outcomes to a consistently high standard of operational excellence. Please note, availability for an early start on Mondays is a must.

  • Liaise with drivers and internal teams, acting as the first point of contact to ensure timely, compliant job execution and resolve queries.
  • Manage driver payments, purchase orders, receipting, and reconciliations in line with company policies.
  • Support driver training and onboarding.
  • Manage inventory and stocktakes — tracking, reporting, and investigating and resolving discrepancies.
  • Handle invoicing and contract administration, including raising, reviewing, and correcting invoices and resolving contract errors.
  • Provide administrative and operational support to the site team, covering order placement, back-end system updates, and continuous improvement initiatives to drive safety and performance.
  • Work closely with council contacts, looking after their data and database — including updating, maintaining, and auditing council records to ensure accuracy.
About You
  • Strong written and verbal communication skills, with the ability to resolve problems effectively.
  • Basic bookkeeping/payroll experience or knowledge is an advantage.
  • Good computer skills, including experience with Excel, and comfortable with UKG (Kronos) or similar workforce management software (desirable but not essential).
  • Proven ability to stay agile in a fast-paced environment with conflicting deadlines.
  • Comfortable managing inventory, stocktakes, and reconciliation processes, and confident raising and managing purchase orders and invoices with strong attention to detail.
  • A safety-first mindset with genuine enthusiasm for driving continuous improvement.
  • Must be available for an early start on Mondays.
