Job summary

Griffith University on the Gold Coast is seeking an Operations and Compliance Officer to support the Technologies, Operations and Logistics (TPH) team across Health Group facilities, teaching and research labs, and clinics. You will enable smooth operations, maintain compliance records, and coordinate workflows with a focus on safety and efficiency.

The role requires a health/science background, strong organisational skills, and proficiency with Microsoft 365 and SharePoint.

Qualifications

• Hold a relevant Health or Science degree, or possess an equivalent combination of relevant education, training and experience working within specialised facility environments.
• Have demonstrated experience providing administration, coordination and operational support in a complex service environment, with experience in specialised PC1/PC2 facilities considered valuable.
• Possess strong organisational skills and attention to detail, with the ability to manage competing tasks, maintain accurate records, monitor deadlines and follow up outstanding actions.
• Demonstrate clear and professional communication skills, with the ability to respond to stakeholder enquiries, work collaboratively and recognise when matters require escalation.
• Show confidence using digital systems and standard Microsoft 365 applications (Excel, Word, Teams, OneDrive) and SharePoint content management, to manage information, documentation, maintenance records and financial or administrative activities.
• Demonstrate a proactive and adaptable approach, sound judgement within established procedures, and a commitment to safe, inclusive and continuously improving work practices, as well as a commitment to Griffith’s values: respect, integrity, inclusion, high performance, and collaboration.

Responsibilities

• Provide administrative and coordination support across operational, maintenance, and compliance activities.
• Coordinate routine workflows, including facility induction records, contractor and technician access, equipment service documentation, training activities, meetings and follow-up actions.
• Act as an initial point of contact for stakeholder enquiries, triaging requests, providing routine process and status information, monitoring progress and escalating technical, complex or higher-risk matters.
• Maintain operational and compliance records and information systems, including registers, databases, spreadsheets, SharePoint sites, equipment service records and document management systems.
• Support audits, reporting, risk assessment and standard operating procedures review and management, financial administration, special projects and continuous improvement initiatives through effective documentation, action tracking and stakeholder follow-up.
• Undertake financial transactions using the University’s finance systems (eg. raise purchase orders, payment and invoice requests, credit card reconciliation).

Job Description

Technical Partners Health (TPH) is an essential provision of technical support crossing the whole of Griffith Health, spanning across three integral streams:

• Technologies, Operations and Logistics (TOL)
• Laboratory and Preclinical Experience
• Simulation and Practical Experience

Our team of 50+ technical specialists supports teaching, research, clinics, and learning within purpose-built facilities across multiple campuses.

We are currently seeking a highly organised, detail orientated and proactive Operations and Compliance Officer to join our TOL team. This role provides key support across Health Group PC1/PC2 specialised facilities, teaching and research labs, Clinical Trials Unit, and other clinic activities. Working closely with the Technical Manager and the team, you will provide essential operations, project and compliance support to ensure smooth operational outcomes.

In addition, the Operations and Compliance Officer will play a critical supportive role in the following aspects:

• Contribute to the effective and efficient operation of TPH through provision of effective administrative and coordination support for operational, maintenance and compliance activities across Health Group Specialised Facilities to ensure adherence to relevant legislation and uphold Griffith policies.
• Coordinate routine workflows, including facility induction records, contractor and technician access, equipment service documentation, training activities, meetings and follow-up actions.

What we can offer
This is a continuing, full-time position primarily based at Griffith University Gold Coast. As Griffith is a multi-site university you may be required to work across other locations.
Griffith University’s sites are located on the lands of the Yugarabul, Yuggera, Jagera, Turrbal, Yugambeh and Kombumerri peoples.

Salary Range
The full-time base salary for a HEW Level 5 is in the range $82,415 - $92,456 per annum, plus 17% employer superannuation. The total FTE package is in the range $96,426- $108,174 per annum.
