Job summary

Expo Centric is seeking an experienced Office Manager to be the backbone of operations in Sydney. You’ll ensure our office and showroom are clean, functional, well stocked and welcoming, coordinating facilities, suppliers and international travel while managing procurement, bills, onboarding and workplace activities.

Qualifications

  • A degree in Business Administration or a related field.
  • At least two years’ experience in office management.
  • Experience coordinating suppliers, procurement, facilities, travel and general office operations, with confidence obtaining quotations, managing vendors and keeping accurate records.
  • Strong administrative and financial organisation, including confidently tracking bills, invoices, expenditure and payment deadlines.
  • Comfort working across multiple departments and coordinating with remote teams to get operational matters resolved.
  • Exceptional organisation, communication, time-management and problem-solving skills.
  • A working knowledge of office procedures and business practices.
  • The ability to manage competing priorities, work calmly under pressure, meet tight deadlines and pursue continuous growth and development.

Responsibilities

  • Manage reception duties, including answering incoming calls and email enquiries and welcoming clients and visitors.
  • Keep the office, showroom and common areas clean, safe, functional, well stocked and welcoming.
  • Coordinate cleaners, tradespeople, maintenance providers and other office vendors, following up promptly when work is required.
  • Coordinate procurement and vendor management for office, facilities and team requirements, including supplier sourcing, quotations, purchasing, inventory and ongoing stock management.
  • Coordinate office bills and vendor invoices, maintain expenditure records and support monthly budget and cost reporting.
  • Coordinate international business travel, including flights, accommodation, itineraries and visa administration.
  • Support employee onboarding and offboarding, including workplace access, documentation, inductions and coordination with relevant internal teams.
  • Provide local coordination and practical support to our IT team, including device deployment and collection, equipment procurement, local asset records and other on-site IT requirements.
  • Support workplace health and safety administration and help maintain a safe and compliant office environment.
  • Coordinate staff and client events, gifts and other employee engagement activities.
  • Support the administration of company accommodation and other operational facilities as required.
  • Identify opportunities to improve office processes, reduce costs and make day-to-day operations more efficient.
