Job summary

Hunter Region Working Women's Group is seeking an Office Coordinator to act as a first point of contact for clients and the community. You will support the General Manager with day-to-day administration, manage reception, and assist with coordinating programs and events.

Role requires a Diploma or Cert IV in Business Admin or equivalent experience, 2+ years in busy admin, and proficiency with Microsoft Office.

Qualifications

  • Diploma or Certificate IV in Business Administration or relevant experience.
  • 2+ years' experience in busy administration/reception environment within community services, women's health, domestic and family violence services and counselling, allied health and not for profit sector
  • Experience supporting senior management
  • Experience coordinating community programs, workshops or events
  • High level of interpersonal skills dealing professionally and empathically with people from diverse backgrounds
  • Ability to work confidentially and ethically
  • Demonstrated experience in the delivery of exemplary customer service including excellent written and oral communication skills
  • Exceptional time management and organisational skills
  • Proven experience using Microsoft Office Suite of programs including Outlook, Word, Excel and Publisher
  • Current Working With Children Check (Paid), Current National Police Check, Current First Aid Certificate, Current NSW Driver's Licence

Responsibilities

  • Coordinate and carry out all office administration including reception, mail collection, greeting clients and filing
  • Provide a welcoming, respectful and non-judgmental first point of contact for women accessing the organization
  • Communicate sensitively with clients who may experience vulnerability, distress or the impacts of domestic and family violence
  • Maintain confidential records and handle sensitive information appropriately, particularly information relating to clients, employees and health services
  • Manage general telephone, email and face-to-face enquiries in a respectful and trauma aware manner
  • Provide general administrative support to other managers and team members when required and where appropriate
  • Maintain the overall presentation of reception and common areas ensuring they are clean, tidy, fully stocked and welcoming
  • Assist with the coordination and administration of community programs, workshops and wellbeing activities
  • Prepare rooms and shared spaces for activities such as yoga, art therapy, workshops and community events inclusive of equipment, refreshments and programs
  • Maintain calendars for programs, meetings, events and organisational activities

Hunter Region Working Women's Group - Sandgate NSW

HRWWG is a not-for-profit, community-based organisation dedicated to improving the health and wellbeing of women, children, and families across the Hunter Region. Established in 1975, HRWWG manages two key services: Hunter Women's Centre (HWC) delivering trauma-informed, client-centred services for women experiencing disadvantage or barriers to accessing support, and Hunter Early Childhood Centre (HECC) providing inclusive, high-quality early childhood education and care to support working families. Our mission is to support and empower communities through education and care.

About the role

The Office Coordinator is an active member of the team providing a first point of contact to clients, the community and other agencies, providing information, referrals and data entry. Using the Centre's trauma informed, strengths-based and client-centered model of care, the Office Coordinator will facilitate the inclusion of women in their own health and wellbeing and inform, support and advocate for marginalised and disadvantaged women. This position is responsible for providing assistance and support to the General Manager in managing day-to-day operational and administrative responsibilities as well as maintaining reception, back of office areas and administrative support to the Hunter Women's Centre team.
