Job summary

BAI Communications is seeking an organised and proactive Office Administrator to support our project, maintenance and business operations teams. You will handle procurement workflows, manage admin records, coordinate meetings, and liaise with internal teams, suppliers and contractors to keep operations running smoothly.

In a fast-paced technical environment, you will balance multiple priorities, maintain accurate records and ensure timely delivery of services.

Qualifications

  • 3+ years of experience in an administrative, coordination or office support role within a technical environment.
  • Proficient with Microsoft 365 tools (Outlook, Excel, Word).
  • Experience using purchasing and invoicing processes.
  • Strong written and verbal communication with internal and external stakeholders.
  • Ability to manage competing priorities, organise workloads and meet deadlines.
  • Attention to detail in record-keeping, systems data and documentation.
  • Experience coordinating schedules or resources in an operational setting.
  • Experience with asset management and document control systems.

Responsibilities

  • Processing purchase orders, invoices and accrual reporting in line with financial procedures.
  • Maintaining asset, training and operational records across systems.
  • Act as a key point of contact linking internal teams, suppliers and contractors.
  • Coordination of meetings, team events and stakeholder engagements.
  • Support facilities management activities, local site requirements and business improvements.
  • Manage contractor onboarding and compliance, including documentation and scheduling.
  • Administer key systems such as CyberKey, ensuring accurate data and access management.

LET’S EXPLORE THE ROLE

As an office administrator, you will play a pivotal role in assisting in the smooth running of our operations by connecting teams, systems, suppliers and contractors across the business.

Working in a technical environment, you will provide hands‑on administrative support to the project team, maintenance team, and business operations team. From assisting in the management of the procurement process to supporting team logistics and systems, your work will directly contribute to operational efficiency and service delivery outcomes.

This is a varied, fast‑paced role where no two days are the same—ideal for someone who thrives on organisation, collaboration and making things happen behind the scenes.

This role requires 5 days in the office but we are flexible with start/end times within a 7.6 hour day.

Key Responsibilities
  • Administration support including processing of purchase orders, invoices and accrual reporting in line with financial procedures
  • Maintaining accurate asset, training and operational records across systems
  • Act as a key point of contact linking internal teams, suppliers and contractors
  • Coordination of meetings, team events and stakeholder engagements

You’re an organised, proactive administrator who enjoys working across multiple priorities and supporting operational teams to deliver results. You bring a strong attention to detail, are comfortable working with systems and processes, and know how to keep things moving.

You’ll bring
  • Minimum 3 years’experience in an administrative, coordination or office support role within technical environment
  • Strong capability across Microsoft 365 tools, particularly Outlook, Excel and Word.
  • Experience working with purchasing and invoicing
  • Confident written and verbal communication skills to engage with internal and external stakeholders.
  • Proven ability to manage competing priorities, organise workloads and meet deadlines
  • Attention to detail when maintaining records, systems data and documentation
  • Experience coordinating, schedules or resources in an operational environment
  • Experience with asset management and document control systems
  • Demonstrated experience within a technical environment will be highly regarded.
